One key to understand how to use Vantaca IQ effectively is to understand where Vantaca pulls the data from that populates the tables and graph. This article is designed to help you understand the Why and a bit of the How behind Vantaca IQ.

Employee Listing | A list of all employees in the organization. Portfolios and roles assigned to them and the number of associations and properties each employee managers are included | Provides a one-page view of all employees and related information to make searching easier and allow faster comparisons to be performed between employees. | Each data set is pulled from their associated pages under Settings. Action Item Activity |
The number of Action Items that have been advanced or taken action on, including messages and step activity by (depending on the current utility): - All Associations - One Association - One Employee |
Provides a view of specific action items the employee is actively working on, along with a timestamp of the last activity that occurred on each item to ensure that the items are being handled efficiently. | Each Activity (Note or Step on an Action Item) that appears on the All Action Items grid will count as one (1) activity for a user. The grid and bar graph will only show the top ten (10) action types with the highest amount of activity. Note: Because each action on an action item is tracked as one (1) activity, the grid has the possibility to show duplicate action items. This is by design and is simply capturing each performed action on the action item. |

Invoice Data Entry |
Number of invoices processed through Complete Data Entry and the average entry time by (depending on the current utility): Note: The utility only tracks data entry performed in the Vantaca Core app. Data entry performed via third-party integrations is excluded from this metric. Note: This will show as 0% if your associations do not use the Complete Data Entry step. |
Provides insight into how efficiently employees are coding invoices and how their performance compares to other employees within the same association. | Data Entry Completed: Number of Additional Action Items Advanced where Completed Data Entry step was performed and completed vs the total number of action items where the Data Entry Completed was started but not completed. Hover over each chart section to see complete vs incomplete totals. Example: 95 (Completed) of 104 (Incomplete) Data Entry Completed: Number of Additional Action Items Advanced where Data Entry was completed by the individual employee. Average Entry Time: Time it took the employee to perform the data entry and advance the action item. Each entry is calculated by an individual's time spent creating the Invoice on the Completed Data Entry step. The arrow represents the trending average within your Business/Association for the selected date range. Example: If the default Last 7 Days range is currently selected, the average entry time will only pull data from the last 7 days, so you may see the value change from day-to-day. -A Red arrow -A Green arrow Tip: You want your trends to be green because this means that the average coding times is going down and your employees are still coding efficiently, but now they're coding faster too. |
