Vantaca allows multiple contacts to be listed under an individual service provider record so that you can easily stay in contact with the appropriate person within that service provider’s organization.
This is especially helpful if you want to record a different contact for the accounting department than the administration or customer service department. Or perhaps, each association has their own designated point of contact with your service provider; Vantaca’s Provider Contacts can help you manage those contacts and keep them all straight.
To setup and manage your service provider contacts, navigate to Service Providers > Provider Contacts. The header of the page will display primary contact information, insurance and payment information for the service provider you have selected, with clickable links to other service provider pages.
From here, you can Edit an existing contact, or create a new service provider contact by clicking + New Contact.
Is Primary: When this box is checked, Vantaca will override the Primary contact information for this Service Provider with the information listed here.
Name: The name of the Contact as it will appear both in communications and when selecting contacts internally through Action Items or Contracts.
Title: For information purposes only.
Email: The email that will be used for communcation from Vantaca.
Phone: Can be used as a Merge Tag.
Fax: For information purposes only.
Allow Login Access?: If this box is checked, the Contact will have login access to Vantaca.net and can view Action Items and accounts assigned to them.
Note: This is typically used for Collection Attorneys.
Note: This will assign them the Service Provider role and responsibility. Be sure to check the permissions on the Service Provider role before allowing them access to your database.
Password: When using the Allow Login Access option above, this is the password the Provider will use to login.
Note: Vantaca does not communicate this password with the provider. It will be your responsiblity to give them login credentials.
Note: Service Providers will use your CompanyID, the email above, and this password to login.
Upon updating service provider contact information, you can refresh the page to see your changes by clicking on the Primary contact link.
