Summary: This article provides an overview of the Classic Portal's available pages along with the actions that homeowners can perform on each page.
Accessing your Association's Homeowner Portal
Go to Homeowners > Logins.
Choose a Homeowner and click the Mimic button. This will take you to the Owner's Dashboard in the Portal.
Homeowner Home Page/Dashboard
The Dashboard gives an overview of the homeowner’s account information, any upcoming scheduled payments if applicable, and their Open Issues, also known as My Items.
My Account Page
The My Account page shows a transaction history for the owner’s account. If the homeowner has multiple properties, the transaction histories for all properties will be listed here.
Make a Payment
On this page, owners have a variety of online payment options to choose from, including:
- Auto-Draft
- Credit Card
- Any third-party payment provider you set up for your homeowners.
Auto-Draft
Homeowners can set up auto-draft for their monthly assessments from a checking account only. The monthly assessments will be auto-drafted on the same day each month.
The homeowner will need to have a $0 balance before enrolling in Auto Draft. If they have a balance due, they will need to submit a payment for the full balance before they can successfully enroll in Auto-Draft.
Credit Card Payments
Homeowners can make payment by a credit or debit card. Most 3rd party payment processors do charge a fee for this option.
My Items
Homeowners have access to a list of their property’s action items on the My Items page. Here, they can see what step each item is currently in as well as send a message directly to the appropriate team member by clicking Reply next to each specific action item.
My Contact Info
On the My Contact Info page, homeowners can update any of the below information. Once these changes are made in the portal, Vantaca will automatically update with the new information.
Any changes made by the homeowner through the portal will show up as an Activity Note on the homeowner’s account in Vantaca.
My Login
Owners can change their password and login email on this page. Note: Changing their login email will not change their primary email address in Vantaca.
ARC Requests
Homeowners can submit their own ARC (ACC) requests through their portal through this page. This will generate an ARC Request action item in Vantaca as well as show up on the homeowner’s My Items page where they can keep track of their request's status throughout the process.
Homeowners will be able to go to the Documents page to find a copy of the ARC Form.
Submit a Request
Homeowners can use this page to submit different types of requests. Once they click Submit, a new action item will kick off in Vantaca.
Owners can keep track of these requests on their “My Items” page.
Reservation Request
Homeowners can submit a Reservation Request for any available Amenities that your association has configured. These can include reserving clubhouse rooms, tennis courts, elevators, or pools. The homeowner will select a time block and enter any required accompanying info and click Submit, which will start an Amenity Reservation action item in Vantaca.
Amenity Calendar
The Amenity Calendar is where the homeowner can view the association's reservation activity on a daily, weekly, or monthly calendar. The Amenity Calendar is useful to help homeowners plan their own Reservation Requests around existing ones as well as staying up to date with any other amenity related events in their community.
Calendar & Events
The Calendar in the homeowner portal can show different events and important dates within the community. The management company can go to Association > Calendar in Vantaca to add the events.
When adding the event, be sure to set the Security to Homeowners or Everyone so that homeowners will see the event on their calendar in the portal.
Directory
Homeowners have access to their community’s Directory. Each homeowner/board member can choose their Directory Preferences on the My Contact Info page.
Documents
Here, homeowners have access to the documents that are set up in Vantaca by going to Association > Documents. Only folders with Folder Security set to Everyone or Homeowners will be visible to homeowners.
