Following a Mobile Inspection, it is necessary to review the inspection in order to actually push those action items to the needed steps, send those letters to the print queue, and add charges to the ledger. To review these Inspections, navigate to Association > Inspections.
Here you'll find any open inspections. While this page displays by Association, you can also view All Associations at once, making it easy for a single person to review all inspections for your organization. There are Approve and Decline buttons, but for our purposes click Review.
Once inside an Inspection, you will see each violation that has been stepped or created through the Inspection. By default, these are broken out by the Violation Step, but you can filter and sort these columns however you'd like. You'll see the Homeowner, Description, Step, and the Photo (if any) that will appear on the letter template. (Remember that the last photo uploaded through the App will be the one included on any letters).
At the Top of the page you will find the Approve Inspection, Decline Inspection, and Inspection Report options.
Approve Inspection: This will send the Inspection to the next step in the process. This may be Board Review or Send Letters.
Decline Inspection: This will allow you to void this inspection. This will revert previously created action items to their pre-inspection steps, ensure items do not go to the print queue, etc.
Inspection Report: This option creates a Report that can be given to boards detailing the specific items covered during the inspection.
Dropping down these Action Items will display the Action Item details, including any historical notes or steps.
Edit: Edit will edit the action item, allowing you to change Action Item description, follow-up date, attach additional documentation, etc.
Edit Letter: Typically it is not possible to change the details of a letter generated by system. However during Inspection Review, the Edit Letter option will download a copy of the letter. You can edit this letter however you need: adding details, changing formatting, photos, etc. Once complete, use the Template Manager to replace the letter currently in the Inspection. (If using a Mac, please see below.)
Replace Letter: If you are using a Mac, you will use this option to upload your updated copy of your Inspection Letter. If you are not using a Mac, use the Template Manager for best results.
Remove: This option will remove the Action Item from the Inspection. This will effectively void any changes you have made for this item.
Clicking Approve Inspection will send the Inspection to Board Review, if Board Review is required.
Clients now have the ability to create a Role, and apply that Role as the "Admin Role" to Violation Inspection Category Action items. This role acts as the administrator for Inspections and only Board/Committee Members with this role can complete inspections in Board Review. This means that you can have several board members weigh in and comment on items in an inspection, but only those members with the admin role can make the final approval of the inspection. This eliminates the “first come, first serve” aspect of Board Review. In the example below, we named the Role "Compliance Chair", but naming conventions are up to the Client.
Finally, additional permissions can be set on the Settings > Roles page, allowing for additional configuration.
