After you perform a Mobile Inspection, you must review it to push the action items to the appropriate steps, send associated letters to the print queue, and add charges to the ledger.
Note: You cannot step a violation inspection from an action item and must navigate to the Association > Inspections page to complete this action.
To review inspections:
- Navigate to Association > Inspections.
The Inspections screen displays to show open inspections.
Tip: Although this page displays by association, you can click the association name to change it or select All Associations to make it easy to see all inspections for your organization.
- Click Review beside the inspection you want to review.
The Inspection Review screen opens.
After you open an inspection, you can see each violation that has been stepped or created through the inspection categorized by violation step. You can filter and sort these columns to display as you'd like. All column information will appear on the letter template and the last photo uploaded through the app is included.
Click the caret next to any Action Item to display the details, including historical notes or steps. You can also click the right-side buttons (when available) to perform the following actions:
-
Edit: Edit the action item to change the description, follow-up date, attach additional documentation, etc.
Note: If you edit the action item, such as changing the CCR Item, you must also edit the letter to change the CCR Item within the letter. Then, replace the letter so that the new CCR Item is reflected on the letter sent to the owner.
- Edit Letter: Typically, you cannot change the details of a system-generated letter, but during Inspection Review, you can click this button to download a copy of the letter and edit it to add details, change formatting, photos, etc. When you are done, use the Template Manager (PC only) to replace the letter currently in the Inspection. If you use a Mac, see the next Replace Letter option.)
-
Replace Letter: After editing with a Mac, replace the letter using this option to upload your updated copy of the inspection letter. If you use a PC, use the Template Manager for best results.
-
Remove: Removes the Action Item from the Inspection (including any changes made).
-
Edit: Edit the action item to change the description, follow-up date, attach additional documentation, etc.
- Click one of the following buttons at the top of the screen:
-
Approve Inspection: Sends the inspection to the next step in the process, which may be Board Review or Send Letters.
-
Decline Inspection: Voids this inspection, reverts previously created action items to their preinspection steps, and ensures items do not go to the print queue, etc.
-
Inspection Report: Creates a report that you can send to boards detailing the specific items covered during the inspection.
-
Admin Role
You can create a role and apply it as the Admin role to Violation Inspection Category Action items. This role acts as the Administrator for Inspections, and only Board/Committee Members with this role can complete inspections during Board Review.
For example, you can have several board members comment on items in an inspection, but only those with the Admin role can approve the inspection. This eliminates the “first come, first serve” aspect of Board Review. In the example below, we named the role Compliance Chair, but you can use your own naming convention.
You can also set additional permissions through the Settings > Roles page, to allow for additional configuration.
