Question: What are the different types of Reply methods for Email Templates?
Reply Methods can be used to help target Homeowner Replies when they come back into Vantaca. If a Homeowner replies in the way requested from the Email template, then only their response is pulled into the Action Item Message area. If they do NOT reply in the manner set, then Vantaca will pull in the entire email thread.
When setting up email templates in the Settings > Action Types/Steps, users will have four options to choose from under Reply Method for how the recipient can reply back from an email.
- Reply Between
- Reply Above
- Do Not Reply
Trainer Tip: I personally prefer the Reply Above setting. It most logically lines up with how owners would reply to emails anyway and is (in my experience) least likely to pull in the entire email thread.
If Reply Between is selected, the homeowner will then need to place their response between the dotted lines shown in the example below. If done correctly, only the homeowner's response will populate as an action item message. If the owner replies anywhere other than between the dotted lines, the response back would pull the entire conversation into that one action item message.
If Reply Above is selected, the homeowner will need to place their response above the dotted line shown in the attachment below. If done correctly, just the homeowner's response will populate as an action item. If the owner was to reply anywhere other than above the dotted line, the response back would pull the entire conversation into that one action item.
Do Not Reply
If Do Not Reply is selected, the homeowner should not reply. Below shows the email that would appear. If the homeowner responds it would then pull the entire conversation into that one action item.
Note: Homeowners CAN still respond using this method, and these responses WILL still come into Vantaca. If you do not want owners' responses to come in at all, follow the steps outlined here: No-Reply Email
If None is selected, there will be no instructions on the email as to how the homeowner responds. Below shows the email that would appear. If the homeowner responds, it would always pull the entire conversation into that one action item message.
