Getting your onboarding invite
Before you can log in, your management company needs to have set you up in Vantaca Vendor. Once that happens, you'll receive an onboarding email directly from Vantaca Vendor with a personalized activation link to get started. You may also see a QR code on a check payment, which links to the same activation flow if you haven't already set up your account.
Click the link (or scan the QR code) to begin registration, confirm your company details, and choose how you'd like to be paid (Virtual Card, Same-Day ACH, Standard ACH, or Mailed Check).
Note: You don't need to activate your account to be paid — payments will still go out even if you haven't registered yet — but activating gives you visibility into invoice and payment status and lets you choose faster payment options.
Once you're registered, ongoing access works a bit differently: Vantaca Vendor uses a secure, passwordless login — there's no password to create or remember going forward.
To log in
- Go to https://vendor.vantaca.net/vendor/login.
- Enter the email address you onboarded with.
- Click to send yourself a login code.
- Check your email for the code and enter it on the login page.
Each time you request a code, a brand-new one is sent — so an old code or an old email sitting in your spam folder is never a problem. You can always request a fresh one.
Common issues
"I never got an onboarding invite" This means your management company hasn't set you up in Vantaca Vendor yet, or the email on file for you is incorrect. Reach out to your management company's accounts payable team to confirm your email is on file correctly, or contact Vantaca Vendor support (see below).
"My login link expired" / "I got an error with my old email" This is expected — codes are single-use and time-limited by design. Just go back to the login page and request a new one; you don't need to track down the old email.
"I'm not receiving the code at all"
- Double check the email address you're entering matches exactly what's on file with your management company.
- Check your spam or junk folder.
- If you're on a corporate network or VPN, a firewall can occasionally block delivery or access to the site — try from a different network if possible.
"I can't find my account" / "It says I'm not registered" You may not be onboarded yet, or your management company may have your email on file slightly differently than you expect (e.g., a typo, or a different contact person's email). Contact your management company's accounts payable team, or reach out to Vantaca Vendor support (see below), and include your company name so we can look up the correct email on file.
