Summary: This article will explain Vantaca IQ's various securities and how they can be configured to control which permissions are applied to your IQ users.
🚧If you're having permission issues and/or no longer have access to a dashboard you need access to, please contact your Vantaca IQ Admin to ensure your permissions are configured correctly.
IQ Security Settings in Vantaca
The following Vantaca IQ Security Settings can be found under Settings > Roles > Security > Vantaca IQ:
- Association Dashboard: Allows the user to view associations in IQ based on their Portfolio configuration in Vantaca under Settings > Portfolios. This setting will also control the user's ability to add Association Dashboard Performance Tools to My Dashboard.
- Business Dashboard: Allows the user access to the Business Dashboard and the ability to add Business IQ Performance Tools to My Dashboard.
- Note: Association and employee hyperlinks will be disabled if the user does not have access to the employee or association.
- Employee Dashboard: Allows the user access to the Employee Listing and the ability to add Employee IQ Performance Tools to My Dashboard. If you're not an IQ Admin, you will only see your own information on the Employee Listing unless you are individually given access to other employees by your admin.
- Note: Users will only be able to access employees that they have been configured to have access to by IQ Admins on the Settings > Security page in IQ.
- Vantaca IQ: Controls the user's access to Vantaca IQ, this must be enabled for the user to access Vantaca IQ.
- IQ Admin: Gives default access to all Dashboards, including Association Bank Balances tool and the Settings > Security page in IQ.
Note: Users without View access for each individual dashboard will not be able to view them in Vantaca IQ or be able to utilize any of the Performance Tools when configuring My Dashboard.
IQ Security Settings in IQ
IQ Admins will have access to the Settings > Permissions Settings page which allows them to configure additional permission options for their employees.
- The Employee Permission Listing grid will display the following columns:
- Employee
- Roles
- Portfolios
- Access Count
Configuring Employee Access
Important: If you're setting up a new user, you'll be able to configure their securities the day after they've been set up in Vantaca as data is pulled into IQ on a nightly basis and the same thing applies to associations. Changing the association a user has access to in their portfolio will pull over in the nightly process. However, changes to security settings within IQ will take place immediately.
- Select the Employee's View Details hyperlink.
- Select one of the available This employee can view options:
- Self Only: Employee will only have access to their own data and no one else's
- All Employees: Employee will have access to all other employee information.
- Selected Employees: Manually configure which employees the employee will have access to. This is especially useful if you have multiple managers in different departments, each with their own group of unique employees but don't need access to all employee information.
- If you chose All Employees or Self Only, click Save Changes to complete. Or, if you chose Selected Employees, go to step 4.
- On the Employee List, select the employee that you want the currently selected user to have access to and click the Add button. Note: The user you're currently configuring will be displayed in the page header.
- If selecting multiple employees, use the checkboxes in the first column and then click Add Employees to bulk add employees. Note: Changes will automatically be applied when clicking Add Employees.
- Existing employees that the user currently has access to will be displayed in the Employees this user can view section.
- If selecting multiple employees, use the checkboxes in the first column and then click Add Employees to bulk add employees. Note: Changes will automatically be applied when clicking Add Employees.
- Click Save Changes to complete.
Tip: If you want to easily configure access for an employee that's been assigned many users, set them to Self-Only first and then add the employees they need from there. This will save you the trouble of having to manually un-assign the unwanted users.
