By leveraging AskIQ, you can simplify your day-to-day tasks, find answers faster, and become more productive with Vantaca IQ.

Best practices when asking questions:

• Be Specific: Ask clear, direct questions.
• Capitalize Proper Nouns: Proper capitalization helps the AI disambiguate your questions.
• Use the Thumbs Up/Thumbs Down: Rate your satisfaction with the answer provided by AskIQ to assist in training the model to better answer your questions.

Use AskIQ

Follow these steps to use AskIQ:

1. If you are a Vantaca IQ Admin, click the AskIQ icon at the bottom-right of the Vantaca IQ dashboard. Non-Admins must request access from your supervisor for the added security permissions required to gain access.

2. Enter a question related to Vantaca IQ.
   
   AskIQ is designed to handle natural language queries, so you can ask it questions the same way you would a colleague. The following examples are common types of questions you might ask (see also the Example AskIQ Questions section):
   
   
   • General Information: 
     • How many action items does John Smith have open?
     • Which associations have more than 10 open action items?
   • Process-Related: 
     • How many ARC Requests are in the ARC Review step?
     • What is the average time an ARC request is in the ARC Review step?
   • Scorecard Data:  
     • Who has closed the most action items in the last 30 days?
     • What is the total number of Invoices paid in July?
       
       
3. Click Send.
   
   AskIQ searches the Vantaca IQ data and responds with the answer.

This section lists some highly effective examples of questions AskIQ can answer. Use these as a guide when you formulate your own queries.

Action Item Management

• How many action items do we have open that have not been touched in 90 days?
• How many open action items does John Smith have?
• How many action items were completed on July 30, 2024?
• How many action items have been open longer than 7 days?
• Who completed the most action items in July?

Employee Activity

• How much activity has the employee John Smith had in the last 30 days?
• Which 5 employees have the most open items?
• Who closed the most action items last week?

Invoice Queries

• How many invoices are in the Manager Complete Data Entry step that are more than 7 days old?
• How many invoices were created in July?
• Which employee entered the most invoices last week?

ARC Requests and Violations

• How many ARC Requests are in the Additional Info Needed step?
• How many ARC requests are in the Follow up with Board step?
• How many violations are open for Presidential Valley?

Troubleshooting Tips

Use these tips if AskIQ doesn't return the information that you want:

• Refine Your Query: Be more specific in your question to help AskIQ retrieve the correct data. For example, instead of using a general term like General Inquiry, use the precise name of the Action Type, such as General Inquiry from Email.
• Rephrase the Question: Sometimes rewording your query can yield better results if AskIQ doesn't fully understand the initial phrasing.

AskIQ cannot generate tools, charts, tables, or export data to Excel.

AskIQ is designed solely to provide answers; it cannot perform actions or make changes within the system.

Inaccessible Data

AskIQ is integrated directly into Vantaca IQ and can pull data from all Vantaca IQ tools; however, it cannot access data housed in Vantaca that is inaccessible to AskIQ, such as:

• Homeowner balance information
• Vendor information
• Reporting

These limitations are in place to maintain the highest level of security.

Privacy and Data Security

AskIQ respects role-based permissions, ensuring users only access information that aligns with their assigned role. Sensitive data is always protected.
