Want to see all of the invoices or invoice images that you have paid to a specific vendor, or across an entire association for a specific date range, such as last month or over the last 90 days? You’re looking for the Vantaca Invoice Image Report!
To Run a Vendor Invoice Image Report, navigate to Action Items -> All Action Items and select the association for which you want to run your Invoice Image Report.
Then, click the + New Action Item button and select the Vendor Invoice Image action item. Be sure to create the action item on the first step, Generate Invoice Image Report.
If you would like to pull the report for a specific Service Provider, click the dropdown for the Service Provider tab and enter your Service Provider in the Service Provider field.
**NOTE** If you do not see the Service Provider Section on this action item, be sure to add the Service Provider role as a default follower of that Action Type on the Settings > Action Types/Steps page.
Now, click on the dropdown arrow for the Parameters section and select the start and end dates you would like to use for your generated report.
Once those start/ end dates are set, click Update to create your action item.
After you have created the Vendor Invoice Image action item, Vantaca begins generating a report to pull in all of the invoice images for the association you have selected within the time parameters you have chosen. This process may take a few minutes to complete, depending on the size of the report. To review your generation from the All Action Items screen, search for the action item, by entering your search term in the Type field of: "Vendor Invoice Image."
Once your report is complete, you will see that the action item automatically advances to the Review Report step and a green paperclip will appear, indicating that you have an attachment on the action item to review.
From there, you can use the New Message function to send an email with your generated Invoice Image Report by using the Existing Attachments feature.
