Generating a Homeowner's Transaction History Report and a Homeowner's Statement

Summary: This article will guide the Vantaca user to generate a Homeowners Transaction History Report and a Homeowners Statement. For demonstration purposes, assume that a homeowner, Bob Nanna, lives in the Third Floor homeowners association.

Generate a Transaction History Report from the Homeowner Ledger

To begin, hover your cursor over the Homeowners menu item, and the select Homeowner List page:

The screen will display all homeowners for all associations. To search within the appropriate homeowners association list, hover your cursor over the Homeowner List hotlink and then click. 

This will bring you to a searchable box, where you will enter the desired association name, which in this example, is Third Floor. To find the homeowner, Bob Nanna, click in the search column labeled Homeowner and type Bob Nanna. Select Bob Nanna’s homeowner account by clicking the Select button to the far right side of his name.

Once the homeowner account is selected, Vantaca will take you to the Homeowner>Action Items page. To pull a Transaction History Report from here, you can either select the Next Assessment hotlink from the homeowner’s top panel section or drop down the Homeowners menu and select the Ledger page. 

On the Ledger page there is a row of six tabs that will default to the Summary tab as the first open tab in this row. Navigate to the Transactions tab and from here, select the Transaction History Report button. This report will load in a new screen. You can change your date ranges and click preview to view any changes. When finished, the report can be saved and downloaded. 

Generate a Transaction History Report from the Reports Page

Alternatively, the Transaction History Report can be run by clicking the Reports menu item. Click the Homeowner drop down menu and then click the Run button on the report you wish to see, which in this case, is the Homeowner Transaction History Report. The report will again open in a new window, where you can change date ranges, save and download. 

Generate a Homeowner's Statement from the Reports Page

You can also generate a Homeowner's Statement from the same Reports menu item by selecting the Statements drop down menu, where you will see the variety of different statement types that can be generated.  Just like the Transaction History Report, the Homeowners Statement will open in a new window where it can be saved and downloaded.

Note: You will NOT be able to change date ranges on Homeowners Statement because generating a Homeowners Statement also produces an attached remittance coupon on the bottom of the statement. In other words, the main difference between a Homeowners Transaction History Report and a Homeowners Statement is that the Homeowners Statement produces a remittance coupon at the bottom of the download.  

In summary, a Homeowners Transaction History report can be generated from the Homeowner>Ledger page or from the Reports menu. A Homeowner Statement can be generated from the Reports page.

Q: Why does a different owner from another association appear when I run the Homeowner Transaction History report?

A: The Homeowner Transaction History report requires you to select a specific owner before running it.

To run the report correctly:

1. Navigate to Homeowners > Homeowner List
2. Select the desired owner
3. Go to the Reports tab
4. Run the Homeowner Transaction History report

Alternative option:

To view transaction history for all owners in an association without selecting an individual owner, use the Transaction History By Association report instead. This generates the same information but for the entire association.

Q: Why is a charge missing from my Homeowner Transaction History report?

A: The charge's Tran Date likely falls outside the date range you selected for the report.

Example scenarios:

• Future-dated charge: If the charge has a Tran Date of 1/1/2027 but your report uses a Beginning Date of 1/1/2026 and Ending Date of 1/31/2026, the charge won't appear because it's dated after your report period.
• Past-dated charge: If the charge has a Tran Date of 1/1/2025 (before your report's Beginning Date), its amount will be included in the Prior Balance line instead of showing as a separate transaction. The Prior Balance sums all activity that occurred before the Beginning Date.

To display the charge: Adjust your report's date range to include the charge's Tran Date.


Q: Why is a charge appearing in an owner's Homeowner Transaction History report but not on their statement?

A: This typically happens when the charge's Billing Format is set to (None), which prevents it from appearing on statements.

To fix this, go to Association > Assessments, locate the charge, and click Edit. In the Edit Assessment window, update the Billing Format dropdown to the appropriate option:
