In this article, we will walk through the steps on how to submit an order to SouthData for scanline testing.
First you will want to log into Vantaca.net using your log in credentials. Navigate to Association > Action Items and select + New Action Item. Make sure you have the correct association selected. Select the Generate Coupons and click Update and Select.
To download the file, you must click on the drop down on the action item to access the file. Click on the green paper clip to begin downloading.
You will want to open this file and make sure it has the following information in this order:
- SDI #
- Account #
- Name
- Blank
- Street
- City/State
- Interval
- 1st coupon
- # of coupons
- Amount
- Start Date
- Mail code.
Files without the following information will not be accepted by Southdata as this is a template they must follow.
After you have downloaded the excel file and saved it to your computer, it is time to upload to SouthData.
To upload this file to Southdata, log into their website using your SouthData credentials. From here you will navigate to Order Center in the upper left-hand corner, beside of the “Home” tab. Then click on Order Coupon Books.
You will then be prompted to attach the file previously downloaded from Vantaca (excel or pan file) and follow the prompts on screen until you are ready to check out in the shopping cart.
In the shopping cart you should see Additional Special Instructions. Click on this to type in the text box. When the text box has opened, you will need to enter the bank you are using and your bank representatives information (name and email). For example, the text box would contain the following information:
“Order for Scanline Testing. Please contact Test Bank, our point of contact is Suzy Q, their email is suzyq@testbank.com.” After you have entered this information into the textbox, click on “Place Order.”
A pop up will ask if you would like to keep those instructions, click Yes. After you have completed these steps and click Place Order, you will be directed to the following screen containing your order number to reference if necessary.
Scanline testing through SouthData takes 5-7 business days depending on how quickly the bank processes the information.
**Please note the imported information must come from an active association with active homeowners, meaning you cannot upload a model association or presidential valley file.
**Please also note that you must have a corresponding product set up in Southdata. For example, if you uploaded a scanline for “Abigail’s Association,” you would also need to have a product with the name “Abigail’s Association.” Otherwise, SouthData will not know where uploaded information needs to go, or which association it is associated with.
**Please only submit one scanline to be tested, billing documents orders are locked until the testing is completed and approved. Mailings can still be processed during the testing period.
