You can create a No-Reply Email account in Vantaca for times when you want to send an email from the system but do not want replies to come back to your team.
No-Reply Email Use
Some messages do not warrant a reply. This feature is extremely useful when an association wants to send an email to homeowners but does not want to receive replies to their inbox.
For example, if an association sends a Broadcast Email to 50 homeowners stating the office is closed on a particular day and does not want to receive 50 emails replies, they can send the message using the No-Reply email and Do Not Reply method.
Note: If you use a Do Not Reply email for all of your broadcasts, it's important to give your homeowners a way to communicate with you. Encourage them to use the My Items page of your Owners Portal for communication.
Set Up a No-Reply Email Account
To set up a No-Reply email, you must first create a new email account. This is similar to the way the general inquiry or invoice email is set up. For more details, see the "Mailroom > Email Accounts" article.
To set up a No-Reply email account:
- Navigate to Mailroom > Email Accounts and then click New Email Account.
The New Email Account screen opens.
- Enter the information for the new email account and ensure you select No-Reply as the Email Type.
Note: Typically this will be used for Broadcast Email Action Types, but you can use other types. The Action Type is less important because as it is a No Reply email account, homeowners cannot reply to the message. - Click Update.
Use the No-Reply Email with an Action Item
After you create the No-Reply email account in Vantaca, you can add it to a specific Action Type.
Click the Hamburger Menu for any step that sends to "Homeowner". Click Email, and change the Reply Method to Do Not Reply. Selecting Do Not Reply automatically sends from the No-Reply email account that you set up.
Notes:
- When you use this option for Generations, such as Broadcast Emails, select Do Not Reply as the Reply Method on the Broadcast Email Message Type in the Standard category (as opposed to the Broadcast Email action type in the Generations category).
- You can only have one No-Reply email account in a database (you can use the same one on different action types).
