Overview
When you set up a percentage-based late fee rule in Association > Assessments > Late Fee > Rules, the Charge Amount field determines what the percentage is calculated against. There are two options:

| Charge Balance | The remaining unpaid balance on the charge at the time the late fee generates | 10% × $8.00 = $0.80 |
Important: The Charge Amount method calculates against the amount defined in the assessment rule, not the current account balance. A homeowner who makes a partial payment will still be assessed a late fee based on the full original charge amount when this method is selected.
How to Check the Calculation Method
To verify which calculation method a late fee rule uses:
- Navigate to Association > Assessments.
- Click the caret (
) to the left of the Late Fee charge name.
- Click Rules next to one of the charge rules.
- In the Edit Fee Rules screen, review the Charge Amount section. If the rule uses a percentage, note whether it is set to Charge Amount or Charge Balance.
How to Change the Calculation Method
Important: Changing this setting only affects future late fee generations. Previously generated fees are not recalculated.
To change the calculation method:
- Navigate to Association > Assessments.
- Click the caret (
) to the left of the Late Fee charge.
- Click Rules and select the rule you want to modify.
- In the Charge Amount section, update the percentage type to the desired calculation method.
- Click Update.
Example
Scenario: An association charges a 10% late fee on monthly assessments of $620. A homeowner makes a $612 payment on the 14th, and the late fee generates on the 15th.
If the rule is set to Charge Amount
The system calculates against the original assessment charge amount of $620. The late fee is 10% × $620 = $62.00. This is expected behavior as the fee is based on the defined charge amount, not the remaining balance.
If the rule is set to Charge Balance
The system calculates against the remaining balance after the $612 payment: $8.00. The late fee is 10% × $8.00 = $0.80. This is also expected behavior as the fee reflects what the owner still owes.
Note: If your association expects late fees to reflect partial payments, confirm that the rule is set to Charge Balance. If it is set to Charge Amount and the homeowner has a large remaining fee relative to a small outstanding balance, this is working as configured, not a system error.
Troubleshooting
Q: Why was a homeowner charged a $62 late fee when their balance was only $8?
A: The late fee rule is most likely configured to calculate based on Charge Amount (the full assessment amount) rather than Charge Balance (the remaining unpaid balance). To verify, navigate to Association > Assessments > Late Fee > Rules and check the percentage calculation method in the Charge Amount section.
Q: A homeowner paid their assessment but still received a large late fee. Is this a system error?
A: Not necessarily. If the late fee rule uses Charge Amount, the fee calculates on the full original assessment amount regardless of payments made. If the intent is for late fees to reflect partial payments, change the setting to Charge Balance.
Q: Does this setting affect fixed-dollar late fees?
A: No. The Charge Amount vs. Charge Balance distinction applies only to percentage-based late fees. Fixed dollar amount fees (e.g., a $25 flat fee) are not affected by this setting.
Q: I changed the setting from Charge Amount to Charge Balance. Will existing fees be recalculated?
A: No. The change applies only to future late fee generations. To adjust previously generated fees, manually void and recharge them.
