If you're paid by virtual card, each payment arrives as a single-use card you charge for the invoice amount. This article explains the card-ready email, how to run the card, the rules that cause declines, and what to do if you can't use a card.

How will I know my virtual card is ready?
When your card is issued, you'll receive an email titled "Your virtual card from
The email goes to the card email address on your profile if you've set one, otherwise to your login email. If you can't find it, check your spam folder for mail from updates@vendor.vantaca.net, or ask support to re-send the card-ready email.
Do I need to log in to see my card?
No. The View Card button in the card-ready email opens a secure page showing your card details, and no login is required. The link keeps working for as long as the card is active, so you can come back to it later.
How do I run (redeem) my virtual card?
Run it like any credit card. Most vendors enter the card details as a payment in their own accounting or card-processing software (for example, QuickBooks) to settle the invoice.
The card is single use: it's tied to that specific payment and must be charged for the exact invoice amount, in one transaction.
Why was my virtual card declined?
The card declines any charge that isn't exactly the invoice total, in a single transaction:
- A different amount, even by a few cents, will fail.
- Surcharges or convenience fees (for example, adding 3% for card payments) change the amount, so the charge is declined. Don't add one.
- Partial charges, or splitting the amount across several charges, will also fail.
If you've checked the amount and it still declines, contact support.vendor@vantaca.com with the invoice number. If you believe the invoice amount itself is wrong, your management company manages this — please reach out to them.
What billing address do I use for the card?
If your processor asks for a billing address (for address verification), use the address shown with the card details: 261 5th Ave, New York, NY 10016.
Is there a fee for virtual card payments?
Vantaca Vendor charges no fee for virtual card payments. Your own card processor's normal merchant fee applies when you run the card, just as with any other card payment you accept. For fees on other methods, see Getting Paid: Payment Methods, Timing, Fees and Changing Your Payment Details.
How do I find my card in the portal?
The quickest way is the View Card link in your email (no login needed). You can also find the card in your portal:
- Sign in at https://vendor.vantaca.net/vendor/login (for help, see Your Vantaca Vendor Account: Invites, Signing In, Emails and Your Email Address).
- On your Dashboard, click the Payment History tab.
- Find your payment in the invoice list. The Payment Method column shows "Virtual Card" for card payments.
- Click the row (the arrow on the right side) to open the Invoice Details page.
- Click the View Card button at the top right of the invoice card to reveal your card details.
The Invoice Details page also shows the amount, status, invoice date, XN (payment reference number), community and a Payment Progress tracker (Approved → Processing → Paid). For a virtual card, "Paid" means the card is ready to view.
I can't use the card or want to be paid another way
If you haven't charged the card yet, it can still be cancelled. Your management company manages this — please reach out to them with the invoice number (and the XN, if you have it). They decide whether you're paid another way instead or the payment is cancelled, and our team takes care of it once they've asked; either way, you only receive the payment once. Please don't charge the card while this is being arranged.
Once a card has been charged, it can't be cancelled or reissued.
To stop receiving virtual cards for future payments, change your preferred payment method in your profile. That change is reviewed by our team (usually up to 2 business days) and applies to future payments only; a payment already in progress keeps its method. The View Card link says "Card not found"
That's expected after a card has been cancelled: the link no longer shows card details. If you weren't expecting the card to be cancelled, your management company manages this payment — please reach out to them with the invoice number.

Are the card details in the email itself?
The email contains a View Card button that opens a secure page with your card details. Opening it needs no login.
Can I use the card for more than one invoice?
No. Each card is for one payment and one charge of the exact amount.
Can I add my usual card-payment surcharge?
No. Any amount other than the exact invoice total is declined.
The card email went to the wrong address.
The card email on your profile is a payment detail; you can update it in your profile, and the change is reviewed before it takes effect. Support can re-send the card-ready email for an existing card.
