See Who Will Receive a Communication
The Notifications Summary in Action Item Preview lists each role the step sends to. Click a role to see a quick list of up to 10 recipients with their email addresses. To see everyone, click See Recipients next to the role, as described in the following section.
Note: See Recipients appears only for roles that have recipients.
Review the Recipient List
Click See Recipients next to a role in the Notifications Summary to open a window that lists every recipient for that role. The window gives you room to review long lists, which can include hundreds of recipients.
The recipient list shows:
- Name: The recipient's name.
- Contact: The email address for email notifications, the mailing address for paper notifications, or the phone number for text notifications. A dash appears when there is no contact information.
- Preference: The delivery method for the notification, either Email, Paper, Text, or No Notifications. The method comes from the billing preference or the communication preference, depending on how the action item is configured.
For Board roles, the list shows only the members assigned to the role configured on the step.
Find Recipients Who Are Missing Contact Information
A Preference highlighted in red means the recipient is missing the contact information that preference requires, such as an email preference with no email address on file. That recipient will not receive the notification, whether the recipient is a homeowner, vendor, or service provider. In the quick list for a role, a recipient with no email address appears in red with No Email after the name. Correct the account before you step the action item.
Preview a New Action Item Before You Create It
To preview a new action item before you create it, select an owner and complete the required fields in the New Action Item window, and then click Preview (next to Update). The preview shows the step details and recipients before you click Update.
See Your Current Step and a Simulated Step
In the workflow diagram, the label Current Step marks the step the action item is on. When you select a step to simulate, the label Simulated Step marks that step. A highlighted ring appears around each marked step.
Sections With Nothing to Show
If Notifications Summary, Automated Actions Summary, or Charges has nothing to show, that section is collapsed, so the sections with details appear first. Click a section name to expand it.
For more information, see the "XN Lab" article for the Preview features available today, the "Action Item Notifications" article about how notifications are configured, and the "Coming Soon" article for other upcoming changes.
