Vantaca’s newest offering is the Architectural Review (ARC) Voting feature, which boards can use to approve and decline architectural requests. This feature allows the board members of selected homeowners associations (HOAs) to communicate about and vote on different architectural requests. It also lets architectural requests pass through automated flows quickly in the Board Review step.
Note: The Architectural Review (ARC) Voting feature is not required and is not automatically turned on. See the "Setup for Architectural Review (ARC) Voting" article to learn more.
What is ARC Voting?
Management companies can provide the ARC Voting feature to selected HOAs so board members can approve or decline ARC requests.
To configure which HOAs can use this feature, management companies can grant board members the Edit ARC security permission. This permission allows the board members to vote (Approve or Decline) on architectural request Action Items (XN) in the Board Vote step. See the "Setup for Architectural Review (ARC) Voting" article for setup and configuration information.
The XN is approved or declined and moved to the next outlined step after the vote counter meets the predetermined threshold (customized by your configuration).
Board Member Voting Communications
An important aspect of the ARC Voting functionality is board communication for each specific Action item:
- ARC committee members can send messages back and forth regarding the specific action item, which only they can access.
- Other board members can see the messages but not interact with them.
- Homeowners cannot view the messages even after a request is approved or declined.
After Voting Completes
After the board completes the vote and the approve/decline threshold is reached, the Action item steps to your next configured step, with all required documentation attached to the Activity notes.
If you want to maintain the Committee Chair Approval or Management Company Approval steps, they can remain in the Action Item flow. The Action Item flow remains entirely configurable, and all other rules are maintained.
