The Reservations page in the Vantaca Home portal allows homeowners to book community amenities such as basketball courts, fitness centers, conference rooms, and party rooms. This article describes what homeowners see on the Reservations page and the amenity detail pages, how time slot booking works, and the management settings that control which amenities appear, who can book them, and what limits apply.

How Homeowners Reach Reservations
Homeowners can open the Reservations page in two ways:
- They click Reservations in the left navigation menu.
- They click Quick Actions > Book Amenity.
The Reservations Page
The Reservations page lists the homeowner's current reservations at the top under My Reservations, and the available amenities as a table of cards below.
If you have configured custom body content for the Reservations page, it displays to homeowners at the top of the page.
The My Reservations section shows reservations the homeowner has booked, with an Unread only toggle that filters the list to reservations with unread message or status updates.
Each amenity card displays:
- Amenity name and photo.
- Reservation block (for example, 2 hours, 1 hour).
- Reservation limit (for example, the maximum number of bookings per homeowner per period, when configured).
- Available days and hours (for example, Daily 8:00 AM to 6:00 PM, or Mo-Fr 5:00 AM to 10:30 PM).
- Description: A short description of the amenity location or use.
- View Availability button: Click to open the amenity detail page.
Amenity Detail and View Availability
Clicking View Availability on an amenity card opens the Amenity Availability page for that amenity. The page shows:
- Amenity name, photo, and description.
- Variant selector (when the amenity has multiple bookable units, such as North Basketball Court and South Basketball Court).
- Available Hours, Reservation Blocks, Reservation Limit, and Available Days summary cards.
- Book Reservation button: Opens the booking screen.
- Calendar view: Displays the homeowner's selected week (or day) with existing bookings shaded out. The homeowner can switch between Day and Week views and pick a date.
A Back to Reservations link at the top of the page returns the homeowner to the amenity table.
Book a Reservation
To book a reservation, the homeowner clicks Book Reservation on the amenity detail page. A screen opens with these fields:
- Start Date: A date picker for the first day of the reservation.
- End Date: A date picker for the last day of the reservation. For a single-day booking, the homeowner sets the end date to match the start date.
- Start Time: A dropdown of available start times.
- End Time: A dropdown of available end times.
Homeowners can reserve an amenity across more than one day in a single action, for example a three-day clubhouse rental. The homeowner selects a start date and an end date, and the system checks every day in the range against the amenity's reservation rules, including the reservation limit and available days. The same start and end time apply to each day in the range, and each day is created as its own reservation.
The homeowner clicks Book Reservation to submit. Each day in the range appears in My Reservations and on the amenity's calendar.
Note: Communities that allow single-day reservations only can be configured to cap reservations at one day. In that case, the end date matches the start date and multi-day ranges are not accepted.
What Controls Amenity Visibility
Whether an amenity appears for a homeowner depends on the amenity's visibility setting and the homeowner's role:
- All Residents: Visible to both homeowners and board members.
- Homeowners: Visible only to homeowners.
- Board: Visible only to board members.
Configure amenity visibility under Association > Amenities in Vantaca.
Reservation Limits and Blocks
Each amenity is configured with:
- Reservation block: The standard duration of a single reservation (for example, 2 hours).
- Reservation limit: The maximum number of reservations a single homeowner can book within a period (for example, 1 per week). When the limit is not set, there is no cap.
- Available days and hours: The days of the week and hours when reservations are allowed.
These values are set under Association > Amenities and displayed on the amenity card and detail page so homeowners know the rules before booking.
FAQ
Q: A homeowner says they cannot see Reservations in the left navigation menu.
A: Verify that Reservations is enabled for the association in Association > Portal Pages and that at least one amenity is configured for the association.
Q: A homeowner says an amenity is missing from the Reservations page.
A: Check the amenity's visibility setting in Association > Amenities. If the visibility is set to Board, homeowners do not see the amenity. Confirm the amenity is active.
Q: A homeowner cannot book a time slot.
A: Verify the time slot is within the amenity's configured available hours and days. Check the homeowner's existing bookings against the reservation limit. Confirm the time slot is not already booked by another homeowner.
Q: How do I view a homeowner's reservation history?
A: Mimic the homeowner from their profile in Vantaca and navigate to Reservations in the left navigation menu. The My Reservations section lists their current and recent bookings.
