Homeowner Unsubscribe From Email Communications
Gmail and Yahoo One-Click Email Unsubscribe Link
We have added the ability to include an unsubscribe link in the header of your emails sent to Gmail and Yahoo.
Why We Did This: Gmail and Yahoo are enhancing their email protections to reduce spam rates for bulk senders (those sending over 5,000 emails a day). While this policy primarily targets marketing emails, it may also impact your emails. To comply with these new standards effective 6/1, we've added an unsubscribe feature.
Think of this as a tool to protect your email reputation and ensure your important messages reach their intended recipients without being marked as spam. We recommend enabling this tool only if your IT department indicates issues with your emails being marked as spam.
How It Works: Once enabled, Vantaca will add an unsubscribe link to emails received by Gmail or Yahoo. These providers will then determine if your email meets their bulk sender parameters. If it does, the unsubscribe link will appear in the email header for homeowners. If it doesn’t, the link will not be added.
Implementation:
1. Go to Settings > Action Types/Steps.
2. Use the Hamburger Menu on the right to open the email template.
3. In the email template, find the dropdown for One-Click Unsubscribe.
4. Set this to Yes and Save.
5. When set to Yes, the unsubscribe link will be included in the header of all homeowner emails of that action type for Gmail and Yahoo to interpret and display as they see fit.
Constant Unsubscribe Link in Homeowner Email Footer:
You also have the option to insert an unsubscribe link and text in the footer of all emails sent through Vantaca. This can be customized to your management company.
Implementation:
1. Go to System > System Settings > General Settings.
2. Select the checkbox for Unsubscribe.
3. Customize the footer text using the Unsubscribe Language text field below the checkbox.
Unsubscribe Feature:
Enable these options with discretion based on need, only if you have significant spam issues confirmed by your IT department. Both unsubscribe options require homeowners to confirm their email address to prevent accidental unsubscribes.
Homeowner Unsubscribe Experience:
In order to unsubscribe, the homeowner must select unsubscribe from their email and then confirm their email address. The homeowner then receives a confirmation that they have been unsubscribed.
Unsubscribing initiates the following actions within Vantaca:
- The email entered during the unsubscribe process is removed from the homeowner’s account.
- The homeowner’s communication preferences revert to paper.
- All email communications to the unsubscribed address are disabled.
Tracking Unsubscribe Activity:
You can run a report within Vantaca to view unsubscribe activity within a specific association:
Go to Reports > Owner Changes Summary Report.
This report tracks unsubscribe activity and creates a note once a user unsubscribes from emails.

Action Items Not Using Correct Follow-Up Date
Fixed an issue where the follow up date was not being set correctly on the next step after the first follow up date.
Auto-Pay Service Contracts Apply Credit
Fixed an issue when a contract is set to auto-pay and there is a negative GL credit memo, the system would not apply the credit into.
Email Options Not Displaying in New Message - ‘Other Field’
Fixed an issue where the pop up for new email with the option for ‘Other Email’ field appears briefly then disappears.
