The Vantaca Manage app replaces the previous Manager app with a focus on simplicity and efficiency to help you complete your tasks faster than ever. It is available for both iOS and Android devices, phone or tablet, with the following versions:
- iOS: 16 and higher.
- Android: 13 and higher.
This app includes:

Streamlined UI: A modern design that puts your most important tools front and center.

Clutter-Free Experience: Removed unnecessary elements to create a clean, focused workspace.

Performance Improvements: Optimized for faster navigation and response times.

Offline Mode: Download your association information and perform inspections without internet access.

Inspections and Violations: Same capabilities, with improvements, as the the previous app.

Work Orders: View and add work orders at the association or property level.

Architectural Requests (ARC): View ARC items per property.

Property Tiles: Easily identify properties with the most urgent needs at-a-glance by viewing colored tags that identify the number of violations, work orders, and ARC requests.
- A new Help (?) icon that provides quick access to help articles and lets customers submit ideas to make the app even better.
Important: Start using the Vantaca Manage app now as the former (Old) app will no longer be available for download or support on November 1st .

Before You Start - Permissions
Before you download and begin using the Vantaca Manage app, make sure that your Administrator has granted the correct permissions (see the following procedure on how to do so):

To Log In and use the app:

CCR > Inspection: View and Add/Update

Association > Association: View
-
To Create an Inspection or Update/Step Violations:

CCR > Inspection: View and Add/Update
Important: This permission must be assigned to the role tied to the responsibility that contains the association in its portfolio.

To Create New CCR Descriptions:
-
CCR > Detail Description - Master List: View and Add/Update.
If you still experience access issues after confirming these permissions are assigned, contact your system administrator to verify your role and portfolio assignments.
Adding Permissions
Users need the permissions detailed in the previous section to use the app.
For each role that you want to be able to use Vantaca Manage:

In Vantaca, navigate to Settings > Roles.
The Roles page displays.

Search for the role that you want to allow to use Vantaca Manage.
For example, in the following image, the user wants to allow Administrators to use the app and enters admin in the search field to display all roles that include the word "admin".

- Click the caret next to the role name to open it (ensure the Security tab is selected).

Go to the CCR section and click Edit next to Inspection.
The Edit Role Security screen opens.

Select the following security permission according to the level of access you want the role to have:
- View: Allows users to view inspections.
- Add/Update: Allows users the full functionality to perform inspections and violations.

In the same CCR section, click Edit next to Detail Description - Master List, and then select Add, View, and Update.
Selecting this option displays the Save as new description toggle on the violation screen. Users can enable it to save their entered custom description for future. Users can still add violations without this option.
- Navigate to Association, click Edit next to Association, and then select View and Add/Update.
- Click Save changes.
Download the Vantaca Manage App
Important: If you are an iOS beta customer that already has the app, you must log out of current app, download the new app, and log in.
To download the Vantaca Manage app:
- Open the App Store and search for Vantaca.

Select the Vantaca Manage app, and tap Get.
The app downloads to your mobile device.
Note: Make sure to select the following Vantaca Manage app icon. Both the previous and new apps will be available in the app store for a short while before the legacy app is deprecated.
Log In to the App
To log into the app:
Note: Users need the Inspection security/permission added to their role in Vantaca before they can use the Vantaca Manage app. For information about how to do this, see the Add the Inspection Role Security section.

Tap the Vantaca app on your phone to open it.
The Login screen displays.

Enter your vantaca.net credentials and tap Log In.
The Home screen displays and may show different elements depending on your app usage.
Homescreen Overview
The homescreen may show different elements depending on your app usage. For example, a new user or a user that is logging in after performing an inspection, etc.

From the home screen you can:
-
Start a new inspection (1): Tap to open the Associations screen which lists all associations to which you have access. If you have an inspection in progress (2), this section changes to reflect that and you can click Resume to continue the inspection. See the "Vantaca Manage App: Inspections" article for information about inspections.

Review inspections (3): If nothing displays here, you do not have any inspections that you can review. Otherwise, this section displays the three most recent inspections currently submitted for review that you can decline/approve (4), depending on your configuration. Tap an inspection in this section to open it. For more information, see the Review Inspection section of the "Vantaca Manage App: Inspections" article.
- Recently Viewed (5): Shows your most recently reviewed associations in a horizontal scroll. This section clears each time you log out.
- Home (6): Tap to go to the Home screen.
- Associations (7): Tap to go to the Associations page.

Hamburger Menu (8): Tap to access the following options:

- Home: Displays the Home screen.

Associations: Displays the Associations page. See the "Vantaca Manage App: Inspections" article for more information.

Offline Mode: Enable to enter Offline mode after you have downloaded association information. See the "Vantaca Manage App: Inspections" article for more information about using Offline mode.
- Sign Out: Signs you out of Vantaca Manage and displays the Login screen.
- Privacy Policy: Opens Vantaca's privacy policy web page.

Terms & Conditions: Opens Vantaca's terms and conditions web page.

Help (?) icon (9): Tap to access help articles or share an idea to make the app even better.

Share an Idea: Tap to submit a detailed idea to make our app even better.
- Get Help: Displays the Vantaca Library Manage Mobile App support article section where you can browse the available help articles.
Associations Screen
The Associations screen displays all of your associations in a scrollable list.

This screen shows:
- Search: Enter the name of a specific association to find it quickly. Associations with the search text in the name display in a list.

Sort icon: Tap to open the Sort by menu at the bottom of the screen where you can select to sort by Open Inspections, A-Z, or Z-A. If the user already has an open inspection when they log into the app, this list sorts by open inspections by default.

Association Details: Includes the following information for each association within the management company:
- Association name.
- The number of open inspections in review that were created/updated within the past year (those not modified within a year do not display).
- The number of active violations (those not modified within a year do not display).
- The number of properties in the association.

Download icon (
): Tap to download association data. See the Offline Mode section of the "Vantaca Manage App: Inspections" article for details.

Inspect button: Tap to perform an inspection. If your role does not have Add/Update inspection permissions for this association, this button is disabled and a tooltip displays with information about the required permissions. See the "Vantaca Manage App: Inspections" article for details.
- Home: Tap to return to the home page (inactive when on the Home page).
- Association: Tap to return to the Associations page (inactive when on the Associations page).
Individual Associations
Tap an individual association to open that association and display all of the properties within it.

This screen shows the following tabs:

Properties: Lists all properties within the association. Each property shows the street address, the property's owners (all owners display comma-separated, truncated with an ellipsis when the names exceed the available space), and visual indicators for Past Cure (displays only if there is an open violation that is past the cure date) and the number of active violations (red), work orders (blue), and ARC requests (purple) for that property.

Inspections: Allows you to continue an inspection. For details, see the "Vantaca Manage App: Inspections" article.

Work Orders: Lists properties with work orders organized by status. For details, see the "Vantaca Manage App: Work Orders" article.

Additional Info: Shows association additional information. Tap a category to view related association-specific information. This is a read-only view of the same association additional information data available in CMP, but you can view it while working in the field. Note that the additional information for each association is customizable within CMP. If no additional info is configured, the app displays a blank page.
In the following example, the screen on the left shows the categories within the Presidential association, and the screen on the right shows the additional info after Alarm Monitoring is tapped.
Individual Properties
On the Association > Properties tab, tap an individual property to open information specific to that property. The property owner information area includes icons and contact information based on ownership type for quick property status identification:

: Homeowner.

: Builder-owned property.
-
: Rental property with tenants. Tap to display tenant information by category.
When a property has more than one owner, the header shows the primary owner's details and a Multi-Owner badge appears in the top-right corner of the header card to indicate that additional owners exist.
In the following example, the property details area shows that the owner is Alex Johnson. The Tenants icon indicates that the property is rented. The Owner Info tab provides category information, in this case the tenant contact information and vehicle information categories display.

This screen shows the following tabs:

Violations: Lists the violations related to this specific property. For more information, see the "Vantaca Manage App: Violations" article.

Work Orders: Lists the work orders related to this specific property. For more information, see the "Vantaca Manage App: Work Orders" article.

ARC Requests: Lists the ARC requests related to this specific property. For more information, see the "Vantaca Manage App: ARC Requests" article.

Owner Info: Shows owner additional information. Tap a category to view related owner-related information. This is a read-only view of the same owner information available in CMP, but you can view it while working in the field. Multiple categories can remain expanded simultaneously and display in the order configured in CMP. Note that the additional information for each owner is customizable within CMP. For properties with more than one owner, the Owner Info tab also includes a collapsible Multi-Owners section that lists each additional owner with their name, email, and phone number.
App Updates
We regularly update the Vantaca Manage app to improve functionality and add new features. Make sure to keep your app updated through the App Store or Google Play Store to access the latest improvements.
