Vantaca provides secure file viewing and downloading capabilities for attachments within Action Items. The platform automatically categorizes files as either safe to preview within Vantaca or requiring download for external viewing, helping protect your system and data from potential security risks.
Important: When you use Vantaca's attachment system, files deemed safe open in a preview window within the platform, while potentially risky files are automatically downloaded to maintain security protocols.
Note: As of our July 3, 2025 release, clicking the Paperclip icon on an action item now opens that specific attachment instead of defaulting to the first attachment. This improves workflow efficiency when working with action items that have multiple attachments. Attachments are listed by date added (oldest to newest).

Files That Open Within Vantaca
Vantaca classifies the following file types as safe for preview within the platform:
- PDF files (see PDF File Security Specifications for exceptions)
- Image files: JPG, PNG, GIF, BMP, ICO, WebP, TIF, TIFF
- Audio files: MP3, OGG
- Text files: TXT
- Video files: MOV, MP4
These files open in a Vantaca preview window. While the files download to your browser's cache, they do not download directly to your desktop.
Files That Download for External Viewing
Files not included in the safe list automatically download rather than displaying within Vantaca. This security measure protects against potentially malicious code embedded in file types that pose higher security risks.
The following file types also download automatically for convenience, as most browsers cannot display them correctly:
- Spreadsheet files: .xls, .xlsx, .csv
- Document files: .doc, .docx
- Email files: .msg
- Audio files: .wav
PDF File Security Specifications
Vantaca opens PDF files in a preview window only when they appear safe. PDF files may contain scripts, hidden links, or other potentially malicious actions.
Security Assessment: Vantaca evaluates PDF files for embedded code and suspicious elements. The platform errs on the side of caution, meaning some safe PDFs may download rather than display directly in Vantaca to maintain security protocols.
Note: You can configure your browser to automatically open downloaded PDFs. Browser configuration steps appear in the following sections.
Browser Configuration for PDF Downloads
Configure your browser to automatically open PDF files after download using the procedures in this section.
Chrome Configuration
- Navigate to Settings > Advanced > Downloads.
- Select Ask where to save each file.
- When downloading a PDF, select Always open files of this type.
Firefox Configuration
- Navigate to Options > General > Applications.
- Find PDF in the list.
- Set the action to Open in Firefox.
Edge Configuration
- Navigate to Settings > Downloads.
- Select Ask me what to do with each download.
- When downloading a PDF, select Always open files of this type.
Safari Configuration
- Navigate to Preferences > General.
- Configure your download location.
- Right-click a downloaded PDF.
- Select Always Open With and choose your preferred application.
