Revenue Manager: Enroll Associations

Revenue Manager can only generate charges for an association after that association is enrolled. New associations enroll automatically, but an association can be left out if enrollment did not complete when it was created or updated. The Enrollment tab shows which associations are enrolled and lets you enroll the ones that are not, so every association you manage is included in billing.

Contents

Before You Start

  • Management company association: Your account must have an active association with a type of Management Company. For more information, see the "Revenue Manager: Setup" article.
  • Which associations display: The table lists associations that are not inactive, including Onboarding, Live, and Not Managed associations. Management Company, Model, and Test/Other associations are not included.
  • Permissions: You need View access to Revenue Manager to see the Enrollment tab.

View Enrollment Status

Navigate to Revenue Manager > Configuration > Enrollment.

The table includes the following columns:

  • Association Code: The code for the association.
  • Association Name: The name of the association.
  • Association Status: The current status of the association.
  • Enrollment Status: Whether the association is Enrolled or Not Enrolled.

Enrolled associations display an Enrolled badge and cannot be selected. Associations that are Not Enrolled can be selected for enrollment.

Tip: To find associations that still need to be enrolled, filter the Enrollment Status column for Not Enrolled. To see more associations at once, increase the number of items per page at the bottom of the table.

The table refreshes automatically about every 30 seconds. You can also use the refresh option in the table toolbar, or export the table.

Enroll Associations

  1. Navigate to Revenue Manager > Configuration > Enrollment.
  2. Select the checkbox next to each association you want to enroll.
The toolbar shows how many associations are selected.
  3. Click Enroll.
The Enroll Associations screen displays the number of associations you selected.
  4. Click Enroll to confirm.
A message confirms that enrollment started. Enrollment runs in the background and can take a few minutes.

Note: You can enroll up to 50 associations at a time. If you select more than 50, a message tells you how many to deselect, and the Enroll button is disabled until you do. Enroll the remaining associations in another batch after the first one finishes.

Track Enrollment Progress

Only one enrollment can run at a time. While associations are being enrolled, the Enrollment tab displays a message and the Enroll button is disabled. Wait for the enrollment to finish before you start another batch.

To review progress, navigate to Revenue Manager > Status > Jobs. Enrollment appears with a Job Type of Association Enrollment. Click the association count to open the job details, which list each association in the batch with a status of Success or Failed. The job status is one of the following:

  • Success: All selected associations were enrolled.
  • Partial Success: Some associations were enrolled and others were not.
  • Failed: The enrollment could not complete.

One association that cannot be enrolled does not stop the rest of the batch. For more information about the Jobs page, see the "Revenue Manager: Status" article.

Associations That Already Have Records

If an association already has a matching record under your management company association, Revenue Manager uses that record instead of creating a duplicate. If Revenue Manager finds more than one possible match, it does not guess. It skips the association and the job details show it as Failed. Revenue Manager can also skip an association if the matching record is already enrolled to another association, is missing required information, or changed while enrollment was running. The job details do not display the reason, so contact Vantaca Support to find out why an association was skipped.

Troubleshooting

  • Charges are not generating for an association: Revenue Manager can only generate charges for enrolled associations. Navigate to Revenue Manager > Configuration > Enrollment, filter the Enrollment Status column for Not Enrolled, and enroll the association.
  • I see a Management Company Missing message: Revenue Manager requires an active association with a type of Management Company. Activate or create one, and then open Revenue Manager again.
  • The Enroll button is disabled: Check for one of the following: no Not Enrolled associations are selected, more than 50 are selected, or an enrollment is already running. If a message states that associations are currently being enrolled, wait for it to finish.
  • An association is still Not Enrolled after the job finished: Open the job details in Status > Jobs to see whether that association shows Success or Failed. The job details do not explain why an association failed, so contact Vantaca Support.
