Vantaca Features
The following changes have been made to Lockbox files:
- Added the ability to Delete and Undelete individual items from an uncommitted Lockbox file.
- A Delete button has been added to Settings > Import > Lockbox > Review Records.

- Clicking the button will prompt the following confirmation message, "Are you sure you want to delete this item for $10.50? This item was deposited at the bank. If further action is required, please contact the bank."
- The Translation and Unmatched tabs will no longer be displayed on the Review Records screen.
- Users will need to enable the Delete/Undelete Lockbox Items permission under Settings > Roles > Import > Lockbox.
- Added the Deleted Lockbox Items tab to Settings > Import.

- Tab will display all deleted lockbox items.
- Users with the Delete/Undelete Lockbox Items permission can Undelete deleted Lockbox items by using the checkbox on each deleted item or using the select all checkbox in the column header, and clicking Undelete.
- Attempting to Undelete a deleted item that is in a closed fiscal period will prompt the following confirmation message, "The date of one or more of the selected items falls within a closed fiscal period. Please reopen the fiscal period in order to undelete the item(s).
- Attempting to Undelete an item that is not in a closed fiscal period will prompt the following confirmation message, "The selected items will be moved to a file on the Lockbox Review Records screen to be committed. Are you sure you wish to undelete the selected item(s)?"
- Undeleted entries will each be reassigned a new valid Lockbox File ID.
- A System Activity Note will now be created whenever any of the following Lockbox deletion actions are taken:
- Delete Lockbox Item

- Each Entry will display the following information:
- Note Time
- Author
- Activity
- Comment/Note
- Each Entry will display the following information:
Impact:
Putting more power in your hands with your lockboxes will keep you from having to create a ticket to delete lockbox items and files and keep you from waiting for support to resolve an issue for you. And with the undelete function, you can easily undo a deletion that may have been performed in error all on your own accord.
Owner Refund
The following changes have been made to Homeowner Refunds:
- Added the ability to manually select the address where the refund will be mailed to.
- The Address for Refund dropdown has been added to the Adjust Payment form:
- Any property, mailing, and primary mailing addresses will be available as dropdown options.
- +Add New Address can be used to manually enter a new address.
- A Refund Address permission has been added to Settings > Roles > Homeowner > Homeowner Ledger Advanced Adjustments which will control the ability to use the +Add New Address dropdown option:
- Added the ability to manually select who receives a refund.
- The Refund Recipient dropdown has been added to the Adjust Payment form:
- Homeowner, Primary Owner, Second Owner, Primary Tenant, etc will appear on the dropdown, if available for the property, as available options.

- Textbox supports up to 200 characters.
- Recipient will not be added to the account and only viewable on the refund they were added to.

- A Refund Recipient permission has been added to Settings > Roles > Homeowner > Homeowner Ledger Advanced Adjustments which will control the ability to use the +Add New Recipient dropdown option:
- Added the ability to attach refund documentation to an invoice when refunding.
- An Attachments field has been added to the Adjust Payment form:
- Any uploaded attachments can be viewed via the green paperclip icon on the invoice action item and in the Board and Homeowner Portal.
- Updated the Invoice and Check Processing function to accommodate the new abilities to select the Address for Refund and Refund Recipient when performing a refund.
- The new refund name and address, when applicable, will be displayed on the check, invoice details, and service provider invoice details.
Impact:
Sometimes a refund needs to be issued to someone that isn't on a homeowner's account or the check needs to be mailed to an address that isn't associated with the account receiving the refund. These changes will allow even more flexibility when creating and processing homeowner refunds and enable you to keep executing your workflows in Vantaca without missing a beat.
Invoice Date
The Invoice Date will now represent the date that the invoice was created on the Invoice > Ready for Payment screen.
Impact:
There were certain instances where the Invoice Date would not be retained once the invoice was paid which could create issues with closed fiscal periods.
Vantaca Corrections
Homeowner List
- Fixed an issue with the Homeowner List missing the column header for Address Line 2 which could create additional manual effort to utilize 3rd party mailers or export the information.
Violation Fines
- Fixed an issue with violation fines still being applied even when the violation has been removed from the inspection before it has been approved.
Check Queue Count
- Fixed an issue with the Mailroom > Check Queue > Jobs not displaying the accurate check count for distinct check numbers from each job.
Insurance Alert
- Fixed an issue with Association Insurance Alerts being auto-generated for Not-Live Associations.
Credit Memos
- Fixed an issue with Credit Memos being posted to the general ledger with the incorrect date.
Assessment Charges
- Fixed an issue with Assessment Rule's Charge Generations not being marked as inactive in instances where the Assessment Rule has an End Date.
Homeowner Statements
- Fixed an issue with statements generating for all owners and ignoring configured billing preferences along with the statements displaying incorrect information for owners that had enabled the Paper billing preference.
Lockbox Import
- Fixed an issue with the Lockbox Import assigning the Owner ID to the tenant in error.
GL Entry
- Fixed an issue that was causing GL Entries to be created when attaching more than one attachment.
Duplicate GL Accounts
- Fixed an issue with newly created association's GL accounts being duplicated when copied from the model.
Vantaca IQ Corrections
Association Comparison
- Fixed an issue with the Association Comparison including Not Live Associations in the tool.
Business Dashboard
- Fixed an issue that was preventing IQ users from filtering via Avg. Time on the Invoice Data Entry table on the Business Dashboard
