You can now scan in Misc checks into the lockbox file using your bank’s scanner!
Scan the Misc check as you would a homeowner check. When you are asked by the bank’s scanner software to include an Account Number, use Association Code + 000. Example, CA000. This allows the bank to make the deposit, capture the image, and send the information plus the image to Vantaca through the Lockbox file.
If your bank requires checks to match on more criteria than the Account Number alone this is the other information sent in the validation file that the check can be matched on:
Account number: Assoc Code + 000 (ie presidential valley=999000)
Owner Name: Misc Check
Property addresses: 1 Misc Check Street, Misc City, GA 30046
When reviewing the lockbox file, you will see these Misc checks flagged as shown below. Use the GL Entry button to record the credit side of the entry and as always, save your changes before committing the file.
Pro Tip: Prior to scanning the Misc Deposit write the GL code on the check. That way if the person reviewing the lockbox file is not the person who knows what GL code it should be applied to, they can simply look at the check image and code the deposit.
Note: Making a deposit to an Association (Alliance Bank)
To create a deposit directly to a community, select the New Deposit button from the toolbar, select a community account, and enter your deposit total amount in the Control Total Amount field. These payments will not be included in your lockbox posting file. If you scan a homeowner check you will need to manually credit their account within your accounting software.
