Templated Address Types
Vantaca provides five templated Association Address Types that serve specific functions in the system. These types integrate with various features and determine how address information appears in tags and correspondence.
- Remittance Address: When you use the Remittance Address type in Association > Addresses, this address becomes the source for all Remittance Address tags throughout the system. If you do not use this type or leave it empty, the system defaults to the Remittance Address from Settings > Company Info. Only add a Remittance Address if you want to override the company-wide remittance address.
- Correspondence Address: When you use the Correspondence Address type in Association > Addresses, this address becomes the source for all Correspondence Address tags. If you do not use this type or leave it empty, the system defaults to the Address from Settings > Company Info.
- Physical Address: Use the Physical Address type for all physical addresses for the selected association. This type helps distinguish between mailing addresses and actual property locations.
Other Address types for repository information only:
- Company Address: Do not create a Company Address type in Association > Address Types. The Company Address tags always source from Settings > Company Info, regardless of any association-level Company Address types you create.
- Association Address: The Association Address type populates its tags with information from the Correspondence Address type. If you have not configured a Correspondence Address type, Association Address tags remain empty. This Type should generally not be used in the following screens: Association > Address Types or Association > Addresses.
- Custom Address: You can create custom address types beyond the five templated types. These custom types serve as repository information only and do not populate system tags or integrate with other features. Use custom address types to store additional address information for reference purposes.
Create a New Association Address Type
To create a new Association Address Type:
- Navigate to Association > Address Types.
- Click New Association Address Type.
- Enter the name for the new address type.
- Click Update.
The new Association Address Type becomes available for all associations and appears in the dropdown menu in Association > Addresses when you click New Association Address Type or Edit next to an existing address.
Add Association Addresses
After you create address types, you can add actual addresses to associations. Association addresses serve as both tagging mechanisms and information repositories.
Understanding these key points will help you manage association addresses effectively:
- Multiple addresses: You can add multiple addresses of most types to provide flexibility for different purposes.
- Physical Address limitation: You should only have one entry for Physical Address per association.
- Address updates: Never delete Physical Addresses. Instead, update or replace them when changes are needed.
- Address overrides: Setting a Remittance or Correspondence Address at the association level overrides the company-wide addresses on statements.
- Statement management: You can control which address appears on statements through Association > Settings.
- Association List population: Information from the Physical Address automatically populates the County, City, and State columns on the Association > Association List.
To add an association address:
- Navigate to Association > Addresses.
- Click New Address.
The Edit screen displays.
- Select the appropriate Address Type from the dropdown menu and provide all available address information in the fields provided.
Note: The address field is required. If you leave it empty, you will receive an Address field required error. To bypass this error when you need to create an address entry without complete address details, enter a zero (0) in the Address field, complete the City, State, and Zip fields, and then click Update. - Click Update to save the address.
Merge Tags for Association Addresses
The system provides several merge tags that pull information from association addresses for use in templates and correspondence:
- Association Address 1: Pulls from Correspondence Address type - street number and street name. If Correspondence Address is not configured, this field remains blank.
- Association Address 2: Pulls from Correspondence Address type - second address line. If Correspondence Address is not configured, this field remains blank.
- Association Address Full Formatted: Pulls from Correspondence Address type - complete formatted address including street number, street name, second address line, city, state, and zip. If Correspondence Address is not configured, this field remains blank.
- Association City: Pulls from Correspondence Address type - city only. If Correspondence Address is not configured, this field remains blank.
Note: All association address merge tags depend on the Correspondence Address type configuration. Without a Correspondence Address, these tags will not populate with information. For more information about merge tags, see the "Merge Tags" article.
