Summary: This article will describe how to navigate the global list of CCR Types and Association level lists of CCR Types.
Objectives:
- Navigate the global list of CCR Items
- Navigate the Association level list of CCR Items
- Find and add unused CCR Items for applicable Associations
- Add Association-specific rules and regulations to Letter Descriptions
- Add a new CCR Item to an Association
- Adding CCR Item Details
Instructions:
Begin exploring the global list for CCR Items by hovering your cursor over the Settings menu and selecting CCR Items. When a new CCR Items is added on this screen and marked Default it will be available in all Associations.
In the example above, Garbage Cans are marked as Default, so that CCR Item is available in all Associations. CCR Items not marked as "default, such as Hedges in the above example, are not available in all Associations.
This and other unused CCR Items for an Association are found by hovering your cursor over the Associations menu and selecting CCR Items. From here, click on the Unused CCR Items button. In our example, Hedges can be found on the list for this Association. By clicking the Use button, it can be added as an CCR Item to the applicable Association.
To view the CCR Types available for the Association, click on the Association CCR Items button. If there is an CCR Types that does not apply to the Association that is selected, mark the item as Not Used then click to Save Changes, and the CCR Types will then be moved to the UnUsed CCR Items screen and used again if needed later.
Note: If you do not click Save Changes, no changes will be saved the next time you navigate to this screen.
To add Association-specific rules and regulations for the CCR Items, just click in the Letter Description Field and start typing. After typing in the description, be sure to click 'Save Changes' in the top left of the screen. The CCR Items and CCR Letter Description will be tagged in to your violation letter. Use your letter description to make your violations association specific.
If the CCR Item needed is not on the Association CCR Type list, click on the UnUsed CCR Types button to look for the item (as described previously). If the item is not on the UnUsed CCR Types screen, click the New CCR Type button to add it.
If adding the New CCR Item for just one Association, do not mark the Default box, and do not enter the Letter Description on this screen.
Instead, once the New CCR Type is added on the UnUsed CCR Types screen, click the Used button (as previously described). The New CCR Type will be moved to the Association CCR Item list. Note, it's now available for all other associations as well which is why you do not want to add an Association specific Letter Description. At this point, the Association specific Letter Description can be added, as previously described. Be sure to click Save changes in order to save the changes you make.
CCR Details & Cure Period
Each of the CCR items on your list has a list of "Details" associated with them. These Details can be easily chosen from a drop-down menu when creating Violations either on .net or mobile. Details automatically populate the Action Item Description with the Detail selected.
The Details section also contains the "Cure Period" so each Detail. Cure Period represents the number of days the homeowner has to resolve (or Cure) the related violation. In the screenshot below, for instance, The homeowner would have 30 days to resolve their Fence violation. When creating a Violation, Vantaca adds the Cure Period to the current date to create a "Cure Date" which can be used as a merge tag in communications.
Adding/Removing Details works like adding/removing a CCR Item. Clicking Not Used on a detail item will move it to the UnUsed Details tab. Clicking Use in the UnUsed Detail tab will make it Used for that association.
