Summary: This article will go over the in's and out's of the print queue and the check queue. Specifications for mailing labels are also listed at the bottom of this article.
Print Queue
All print jobs other than checks will be processed in the Print Queue. The Print Queue is intentionally designed to be a global process to be handled at the company level rather than on an individual association basis. While many clients process printing/mailing on the association level prior to Vantaca, we encourage them to rethink their process to fit more closely to our global way of processing. This has shown to save time and resources, allowing individual users to focus more on their jobs rather than dealing with printing and mailing.
If a manager has access to the Print Queue, they will see all jobs associated with their portfolio, not just the jobs that they created. When printing in-house Vantaca does not print directly to a printer. A PDF will download that can then be printed.
Job numbers run concurrently for both Print Jobs and Check Jobs, thus if you print a check job followed by two separate print jobs, they would be job number 1 (the check job), job number 2 (first print job), and job number 3 (second print job).
The visibility of Print Jobs is determined by the permissions given to a given user. For more information on role security, refer to Role Securities. You can select the Print Job ID to download a CSV file of the job's details.
The Print Queue Screen:
-
- Queue Tab – The queue tab is where print jobs sit prior to being printed, whether that be in-house or sent to a third party.
- Note: After clicking “print” the job may take a few moments to process before appearing in the Jobs or Third Party Orders tabs.
- Jobs Tab – The Jobs tab is where in-house print jobs go once they have been “printed” and is where you download the PDF that is to be printed. The Print Job ID can be selected to download a CSV file of the job's details.
- Note: This function does not exists on the Check Queue > Jobs tab.
- Third-Party Orders Tab – The Third Party Orders tab is where a record of jobs sent to a third party can be found.
- Queue Tab – The queue tab is where print jobs sit prior to being printed, whether that be in-house or sent to a third party.
Check Queue
All check print jobs will be processed here in the Check Queue. Having a separate check queue screen helps to remind the client to switch to check stock. If you cannot find a job that has been sent, make sure to check the ‘include closed’ option to show closed jobs.
When printing in-house Vantaca does not print directly to a printer. A PDF will download that can then be printed.
The check queue is portfolio-based, meaning that access to the check queue can be regulated based on security settings. Job numbers run concurrently for both Print Jobs and Check Jobs, thus if you print a check job followed by two separate print jobs, they would be job number 1 (the check job), job number 2 (first print job), and job number 3 (second print job).

- Jobs Tab – The Jobs Tab is where check print jobs go once they have been “printed” and is where you download the PDF that is to be printed.
Mailing Labels
- Mailing labels print in Avery 5160 format.
- The addresses pull directly from the address tag in the letter template, thus if there is no address tag in the letter template, no address will pull to the mailing labels.
- The PDF that is generated through Vantaca is formatted such that it will fit on the Avery 5160 Mailing Labels. However, if you find that when printing the labels don't line up properly, the issue is likely with either your PDF reader or Printer settings.
Example: This change would be done in Adobe.
