Summary: This article provides instructions to management company staff on how to troubleshoot letter templates.
How to download the Template Manager Add-in
The download link can be found in Vantaca by navigating to Settings > Letter Templates.
Click the "Word Template Manager" button to start the one-time download of our Microsoft Word Add-in.
Logging in to the Template Manager
Once the download has been completed, you will now have the ability to build and upload templates in Microsoft Word using the Vantaca merge tag list. To do so, you will need to click the "Add-ins" tab across the top of your Word document.
Once there, click Show Template Manager. You will then be prompted to enter your companyID. This is the same companyID that you use for logging into Vantaca. You will then be asked to log in to the template manager using your personal Vantaca login and password.
Building & Uploading a Template
Once you've logged in, you'll have access to all of Vantaca's Merge Tags. Merge Tags pull information from the system, meaning a single Template can serve as multiple association-specific letters. For information on Merge Tags, visit the Merge Tags article.
Note: To ensure that the tag you have pulled from the list has been added correctly, simply click on the tag. If the whole tag is highlighted, the tag will pull properly. If not, the tag has been broken - most likely by an edit made when setting up the letter template. You will want to delete the tag and add it back to the list.
Once you are happy with your template, you can upload it using the Manage Template tab. Select the letter type, the new Letter Template Name, and the Print Settings. Next, click Upload to have it uploaded to your list in Vantaca.
Check Your Work
Before adding the new letter template to an action item, it is always best to download it from the letter template page to double-check that it came over correctly during the upload. You can download the letter by clicking the "Download" button located on the right side of the letter.
The file should be a .Doc file type, and be able to be opened easily in Word. A hard drive and lock pad will appear on your downloaded file if an error has occurred (as shown below) and you will need to rerun the upload to replace it, or else it will appear blank in the print queue.
