Running the Report
To access the Financial Overview Report, click the Reports tab at the top right of the Vantaca screen.
This will open the Reports window. Select the correct association, and search for the Financial Overview Report as shown below.
Select Run, or New Window to open the report in a new window. Select PDF to open the report in a PDF file. This report pulls in information from the Management > Financial Overview, Management > Financial Overview > Section GLs, and Association > Settings screens. Report Sections
Operating Cash:
This section of the report pulls in the GL Accounts that are selected on the Management > Financial Overview > Section GLs screen in the Operating Cash and Operating Cash/Net Available Cash sections. This section should include GL accounts that add to, or subtract from, your Net Available Cash.
This graph shows the trend of what these have been over the past 13 months. Hover over any of the data points to learn more about them.
Operating Expenses:
This section shows the Variance Items for GL Accounts that are selected on the Management > Financial Overview screen. Only GL Accounts that are above the thresholds set on the Association > Settings screen will show as Variance Items on the Management > Financial Overview screen to be selected to be part of the Financial Overview Report.
Variances will display for both Month-to-Date (MTD) and Year-to-Date (YTD) values. If there are no variances for the current month but there were variances during other months, that line item will show 0 in the MTD column but the YTD column will populate accordingly. The description from the Management > Financial Overview screen will populate on the line under the GL Account.
This section of the report will also show a green F for variances that are Favorable, and a red U for variances that are Unfavorable. A favorable variance is a variance that is less than what was budgeted for that month or year. An unfavorable variance is a variance that means more was spent than what was budgeted for.
Accounts Receivable Trends:
This section uses the GLs that are selected in the accounting section of the Association > Settings screen as shown below. There is no configuration needed.
Based on the GL selected, the system will populate a graph that shows the trends between the total AR Aging, and the AR Aging amount for receivables greater than 90 days old.
Accounts Payable Trends:
This section uses the GLs that are selected in the accounting section of the Association > Settings screen as shown below. There is no configuration needed.
Based on the GL selected, the system will populate a graph that shows the trends between the total AP Aging, and the AP Aging amount for receivables greater than 60 days old.
Reserve Account Trends:
This section populates based on the GL account selected in the Reserve Accounts section on the Management > Financial Overview > Section GLs screen as shown below.
The system pulls the monthly totals for the selected GL account and plots them on a graph as shown below. Hover over each point on the graph for that month's dollar amount.
Investments:
The information in this section is based on the Management > Financial Overview > Section GLs screen. Any GLs that show in the Investments or Reserve Accounts sections will appear on the report.
The Type, Maturity, Interest, and GL Account fields pull from the bank account that the GL Account is linked to on the Association > Bank Accounts screen. Click Edit, as shown below, to view this information.
Reserve Projects:
The reserve projects section works together with the Reserve Project action type. The goal of this section is to track large projects that are being funded from the reserves.
Any action item in the Reserve Project category will show in the Reserve GLs section of the Management > Financial Overview screen to be included in this report as shown below.
The XN field will populate with the action items in the Reserve Project Category. The GL Account, Date, Project Cost, Budget, and Description are optional fields that will pull into the report. Click into any of those fields to enter information.
Reserve - Roll Forward:
This section pulls in information from the Management > Financial Overview screen.
Accounting Notes:
This section of the report populates based off the Accounting Note section of the Management > Financial Overview screen as shown in the screenshot below.
Manager Notes:
This section of the report populates based on the Manager Note section of the Management > Financial Overview screen as shown in the screenshot below.
