While many other systems and processes require the accountant to make frequent journal entries record various items, there are only certain times when it will be necessary to write a manual journal entry using Vantaca. By and large, the Vantaca System will write these entries for you. Entering manual journal entries when the system has already created one is not only unnecessarily duplicating your efforts, but will also throw your books out of balance. Before you manually process a GL entry, take a look at When to Write a Journal Entry and make sure it's necessary.
Navigate to the Accounting > GL Entry screen.
This screen will show all GL entries for your Association. This can be used as a powerful research tool. You can also Copy, Reverse, Recur, or Edit these entries along with the ability to make a line description for one-time and recurring GL Entries.. *NOTE* Clicking Edit on a GL entry is NOT the same as a reclass. This will edit the journal entry itself, and you will lose the historic information for that entry.
To add a manual GL Entry, click + New GL Entry.
This will pull up the GL Entry screen. You will select your date, fund, and description, and there is even an area to attach any relevant references.
Then add your journal entries below. All of the blank line items that appear are usable. If you require even more line items, you can add them by clicking +New Detail
Once the GL entry has been created now the line description can be added after the GL Account column to communicate entry details directly within Vantaca.
Once added, a GL Entry Line Description is visible on the GL Research Screen. The GL Entry Line Description will be visible in addition to the overall GL description
