Billing Page
- Select All (1): When no filters are applied, selects all associations across all pages. When filters are applied, selects only filtered associations across all pages.
- Month and Year (2): Select the month and yearfor which you want to see generated/posted charges or view historical information. This selection filters based on the invoice date.
- Generate Charges (3): See the appropriate section to generate admin or management charges later in this article.
- Post Invoices (4): See the appropriate section to post admin or management charges later in this article.

Export (5): You can export the information from all associations in the list (not just the current page) into an Excel file. If you applied filters, only the displayed, filtered information exports.

Grid Summary: Exports complete association data, including:
- All association details visible through manual drill-down actions and all posted charges and invoice details regardless of posting frequency.
- Details of Posted Charges: Downloads an Excel spreadsheet that contains detailed information about all of the posted charges and credits across all associations within the month/year selected. Credits are included with their associated invoice numbers, ledger dates, and credit application details. The file name will include the export date for tracking.
- Details of Pending Charges: Downloads an Excel spreadsheet that contains detailed information about all of the pending charges and credits across all associations within the month/year selected. Credits are included with their associated invoice numbers, ledger dates, and credit application details. The file name will include the export date for tracking.

Admin Billing screen: The Export button changes to a menu where you can select an option:
- Pending Amount (6): Click the pending amount (in blue) to open the Pending Charges Detail screen. If no pending amount exists, click External Charge to open the Pending Charges modal and add external charges directly without importing a file. See the Managing Pending Charges section for more information about viewing detailed charge information as well as adding, editing, and removing external charges from this screen.
- Posting History (7): A Carat icon appears beside items with previous postings (only available on admin charges that have been generated and posted multiple times). Click the caret to open and view all postings.

Invoice Documents (8): Click the PDF or Excel icons in the Invoice Detail column to open and/or download the corresponding documents. The expanded state remains after opening documents.

Generate Admin Charges
Note: If you are running your very first charge generation during initial setup, start by generating and posting charges through the end of January only. After the initial generation completes, proceed with your regular billing schedule as desired. Typical implementations follow a monthly approach where you generate and post charges for each subsequent month individually (February, then March, then April, and so on) until you reach the current period and are fully caught up with the billing cycle.
Admin Billing External Charges
You can add external admin billing charges using two methods:
- Manual Entry: Add external charges directly from the Admin > Billing screen without creating an import file.
- Import: Upload external charges in bulk using the Admin Billing Charges by Amount or Admin Billing Charges by Quantity import templates.
Both methods allow you to bill for items tracked outside of Vantaca, such as office copies, postage, maintenance billable hours, etc.
Adding External Charges Manually
You can add external charges directly from the Admin > Billing screen without creating an import file.
To add an external charge manually:
- Navigate to Revenue Manager > Admin > Billing.
- Locate the association in the billing table.
- In the Pending Amount column, click External Charge.
- Follow the instructions in the Add External Charges section.
The external charges appear in the Pending Amount column and can be posted with the next invoice generation.
Note: If an association already has a pending amount, click the blue pending amount to open the Pending Charges modal where you can add external charges alongside existing pending charges.
Importing External Charges
You can import external charges in bulk when you need to add charges for multiple associations or have external charge data in spreadsheet format. Imported charges appear as generated charges in the pending amount for the association.
Imported charges will appear with any manually added charges in the Pending Charges Detail screen.

Importing
You can import external charges multiple times per month and all of these charges go directly into the pending amount.
Note: Vantaca only generates charges if there is a matching association billable charge and charge type for the association indicated in the import.
- In CMP, navigate to Settings > Import.
- Click the Imports tab.

Click New Import.
The New Import screen opens.

Provide the following information:
- Import Type: Select Admin Billing Charges By Amount or Admin Billing Charges by Qty depending on which one you want to use.
- Import Mode: Select Append.
- Posted Date: Select the date you want the external charge to post.

Import File: Click Select files and upload your template.
The imported information show as line items on the screen.
- Click Save.

Reverse/Void an Import
If you reverse an import that contains external charges from a voided invoice, the system
reverses all non-posted external charges included in that original import batch (not just the charges
from the voided invoice).
If you have an issue with the generated charges and want to reverse/void an import, follow the instructions in the "Reversing Committed Imports" article.
Managing Pending Charges
Use the Pending Charges Detail screen to add, edit, and remove external pending charges as well as export all pending charges.
Pending Charges Detail Screen
When you click a Pending amount link, the Pending Charges Detail screen opens.
This screen shows a list of the admin charges, the quantity, fee type when it was generated, the amount, and the total of the pending charges. From this screen you can click the buttons to:

Note: After charges have been posted, you cannot change or remove them through this screen. You must reverse the posting or make adjustments through the association's ledger.
Add External Charges
To add an external charge to the pending amount:
Note: You can still import external charges using templates as described in the original process. Both imported charges and manually added charges appear together in the Pending Charges Detail screen. For details about importing external charges, see the Admin Billing External Charge Import section.
- Navigate to Revenue Manager > Admin > Billing.
- Click the pending amount (in blue) for the association where you want to add charges or the External Charge button (displayed if no other pending charges exist).
The Pending Charges Detail screen opens. - Click External Charge.
The Add Charge modal opens.
- Provide the following information:
- Charge Type: Select the charge type from the dropdown based on your contract configuration.Depending on the set up, other fields may populate in accordance with the charge type setup.

Amount or Quantity: Select the desired option and enter the total amount for this charge
- Amount for amount-based charges.
- Quantity for quantity-based charges that will be multiplied by the contract rate.
- Click one of the following:
Important: The system automatically calculates the quantity with current rates and validates the minimum/maximum. If a minimum or maximum amount exists for the charge type it displays in the appropriate fields and the system adheres to those values. For example, if the maximum amount is $50 and you enter $55, it will only add 50 to the pending charges.- Save & Add Another: Adds the charge and clears the screen so you can immediately create another one.

Add Charge Item: Adds the charge and closes the screen.
The new charge appears in the Pending Charges Detail screen and is included in the total pending amount.
Note: You can only add charge types that are configured in your Admin Fee or Management Fee contracts for the selected association.
Edit External Charges
You can edit pending external charges that have been generated or added but not yet posted.
To edit an external pending charge:
- Navigate to the Pending Charges Detail screen by clicking the pending amount for an association.
- Click Edit.

Locate the charge you want to edit (editable fields show in blue) and click directly in the field you want to modify. You can only edit the Quantity and Amount fields:
Note: If you want to make the same change to multiple charges, select the charges and make the change in one of the editable fields. You will see the same change in the other selected charges.
- Make your changes.
- Click Save Changes or click outside the field to save.
Remove External Charges
You can remove pending external charges that have been generated or added but not yet posted.
To remove an external charge from the pending amount:
Note: After charges have been posted, you cannot remove them through this screen. You must reverse the posting or make adjustments through the association's ledger.
- Navigate to the Pending Charges Detail screen by clicking the pending amount for an association.
- Click Remove.
- Select the charges that you want to remove (only external charges will be available for selection).
- Click Remove Charges and confirm the removal when prompted.
The charge is immediately removed from the pending charges and the total pending amount updates accordingly.
Export Pending Charges
Click Export to download all of the pending charges and their associated information into an Excel spreadsheet.

- On the Management > Billing page, select a month/year.

Select one or more associations.
The page refreshes to show only management fees in the month/year selected. - (Optional) Add any filters to narrow the results.

Click Generate Charges.
The Generate Charges screen opens and displays the number of selected associations in the header.

Select the date through which you want to generate charges, and then click Generate Charges (you can only generate management charges once per month).
After you click Generate Charges: -
Click the pending amount charge to open the Pending Charges Detail screen.
This screen shows a list of the charges, type, when it was generated, the amount, and detailed charge descriptions for each one. The charge description comes from the Description field configured in the contract's Charge Setup. For more information about configuring charge descriptions, see the "Revenue Manager: Contracts and Templates article". See the previous Generate Admin Charges procedure for an example of a Pending Charges Detail screen.
Note: You cannot make changes in this screen. If you see an incorrect item, you can return to the appropriate ledger to adjust items, reverse the import, and then regenerate the external charges. For more information, see the "Reversing Committed Imports" article. - Click Export at the top-left of the Pending Charges Detail screen to export the information as an Excel file. The spreadsheet includes detailed charge and credit information.
- Click Close when finished.
Post Invoices
- Click Admin or Management > Billing (depending on which you want to post) and select one or more associations.

Click Post Invoices.
The Post Invoices screen opens and displays the number of selected associations in the modal header.

Provide the following information:

Click Post Invoices.
The posted invoice amount shows in the Posted Amount column. For example:

Click the PDF icon to open the invoice as a PDF in a new tab or the Excel icon to download the invoice as a spreadsheet. The PDF invoice includes credit information in the total section when applicable.
The Invoice Detail column in the table shows the XN of the invoice created from the posted charges and the status of that invoice (e.g. Paid, Needs Approval, etc.)
Notes:- The status does not change within the table as it updates internally. Click the Refresh icon at the top of the grid to reload the grid and the status will update if changed.
- Each status is custom to the management company invoice workflow and may be different for each company.
- The generated invoice PDF displays all line items including any credits applied, with the credit information clearly shown in the total section to provide complete financial transparency for both admin and management fee billing.
- (Optional) To sync with external accounting systems, you may want to export a list of all associations and their posted charges. For more information, see the Export description in the Billing Page section.

(Optional) After you post your invoices, you can navigate to Vantaca to see the items posted on the ledger.
The invoices follow the contract and invoice action item settings.
Void Management Fee Invoices
You can void Management Fee invoices in CMP. Voided charges return to pending status and can be reprocessed.

Admin Billing Invoices
In the following example invoice the Description includes the:
- Charge Type (1) from import: Reimbursements.
- Description (2) from contract configuration: Mailing of Project Documents to Munyan.

Click the blue pending amount charge to view the Pending Charges detail screen, which shows a list of the charges and the amount for each one. For details see the Generate Admin Charges section of this article.

How Revenue Manager Handles Invoice Payments
Revenue Manager automatically communicates invoice payments back to the owner ledger when invoices are marked as paid, provided they're linked to the correct contract type (Management or Admin Billing).
Key Connection: The contract and contract type serve as the bridge between invoice payment and owner ledger updates.
For Associations Not Managing AP for an Association:
- Set the contract pay type to Auto Draft
- Leave the invoice open until payment is received
- Mark the invoice as paid once payment arrives
Result: Marking the invoice as paid automatically clears the AR balance—no need to manually post checks to the owner ledger.
