One-Time Code Password Reset Process in CMP Available: August 21, 2025 |
Updated the Reset Password functionality in the CMP Homeowners > Logins screen to use the new One-Time code password reset process. When management company staff click Reset Password, the system now generates a one-time code valid for 15 minutes that is emailed to the homeowner, replacing the previous temporary password system. The homeowner experience remains identical to the homeowner-initiated reset process, ensuring consistency across all password reset methods. For more information, see the “Vantaca Home – Resetting a Homeowner Password” and “How to Log In to the Homeowner Portal” article. |

Remove One-Time Code from XN Notes and Activity Notes Available: August 21, 2025 |
Enhanced security by removing one-time access codes from XN Notes and Activity Notes displays. This prevents sensitive temporary authentication information from being visible in system tracking while maintaining comprehensive activity logging for administrative and homeowner account changes. |
Invoice Approval Flow Available Balance Enhancement Available: August 21, 2025 |
Enhanced the invoice approval workflow by adding Available Balance visibility to help reduce NSF fees when approving invoices. The system now displays available balance information in the invoice approval summary, calculated based on reconciled or outbound AP payments from the association bank ledger, providing better financial context for approval decisions. |
Homeowner Recurring Payment Report for Vantaca Pay Available: August 21, 2025 |
Created a comprehensive Telerik report that displays all homeowners enrolled in active recurring payments through Vantaca Pay. The report includes association details, homeowner information, payment methods, frequency, scheduled dates, and amount types, with filtering capabilities by association and export functionality to CSV/Excel. |
Increase Character Limit on Attachments Available: August 21, 2025 |
Increased the attachment filename character limit to 200 characters to prevent file extensions from being truncated during attachment processing. When file names exceed 200 characters, the system now preserves the file extension and truncates the base filename instead, preventing attachments from being blocked due to security restrictions on files without extensions. |
| Service Contract Association Activity Notes | Enhanced Association Activity Notes to track all Service Contract changes including new contracts, edits, and deletions. Activity notes now capture detailed field-level changes with Provider and Account Number identification (where possible), ensuring administrators can easily track contract modifications over time. For more information, see the "Association Activity Notes" article. |
| GL Entry Field Validation | Improved the GL Entry screen to allow typing GL account numbers that match existing associated GL accounts, eliminating the need to manually select from the dropdown menu. The system continues to validate entries and prevent invalid GL accounts from being processed, ensuring data integrity while streamlining the user experience. For more information, see the "GL Entry" article. |

Action Items Email Punctuation Formatting Available: August 22, 2025 |
Fixed an issue where apostrophes and other punctuation in Action Item emails were displaying as HTML character codes instead of proper formatting. The system now correctly displays punctuation marks both in the Vantaca platform interface and in outbound email messages, ensuring consistent formatting across all email communications. |
Audio and Video File Attachment Viewer Available: August 21, 2025 |
Fixed an issue where clients were unable to play audio files attached to action items. Audio files (.wav, .mp3, .ogg) and most video files (.mov) now force a download when clicked in the attachment viewer, allowing users to play them with their local media applications. MP4 video files continue to play directly in the browser viewer popup. This resolves security-related changes that previously prevented audio/video file playback. |
|
File Attachment Display Security Available: August 19, 2025 |
Resolved an issue where file attachments were automatically downloading instead of opening for preview when clicked. This change was implemented as part of security enhancements to address unrestricted file upload vulnerabilities, ensuring proper file handling while maintaining user-friendly attachment access. Files now attempt to open for preview in the browser when possible, with download options still available through standard browser functionality. |
| GL Research Owner ID Field Restored | Restored the missing Owner ID field option in the Accounting > GL Research screen column selection. Users can now add the Owner ID column through the Hamburger menu to display owner identification information in GL Research results. |
| Invoice Pay Type Default | Enhanced invoice pay type defaults to prevent invoices from being processed without a pay type. The system now automatically defaults pay types using the following hierarchy:
The Choose a Method option has been deprecated. For more information about this functionality, see the "Invoice Processing: Coding Invoices" and "Invoice - Complete Data Entry" articles. |
| Invoice Account Application | Resolved issues with invoice bank account coding and payment application. Fixed visual display bugs where invoice notes showed incorrect bank accounts and corrected payment processing to ensure invoices are paid from the correct coded accounts. |
| Owner Payment Return Processing | Enhanced owner payment return processing to properly create separate book entries for returned payments. The system now correctly handles payment returns without causing out-of-balance conditions, ensuring proper reconciliation between homeowner ledgers and bank registers. For more information, see the "Processing Bank Returns - Bank Return Notifications" article. |

New Feature: One-Time Code Login
Available: August 21, 2025
The one-time code login feature is the simplest and most secure way to access the Homeowner portal account. This method eliminates the need to remember passwords and provides instant access to your account.
It sends a temporary, secure access code directly to your registered email address. Each code is valid for a limited time and can only be used once, ensuring maximum security for your account.
Benefits:
- No password required: Access your account without remembering complex passwords.
- Enhanced security: Each code is unique and expires after use.
- Self-service: No need to contact your management company for password assistance.
- Quick access: Receive your code quickly via email.
You can log in using a one-time code or continue to use your username and password. One-time passcodes will not display in XN Notes or Activity Notes.
For complete instructions, see the “How to Log In to the Homeowner Portal” article.

Description |
| One-Time Password Updates | Based on client feedback, we have redesigned some elements of the One-Time Code Login feature. Changes are reflected in the summary above as well as in the "How to Log In to the Homeowner Portal" article. |
| Home Portal Document Navigation Pagination Fix | Fixed an issue where users navigating between document folders with multiple pages would retain the pagination from the previous folder instead of resetting to page one. The system now correctly resets to the first page whenever users navigate to a different folder or perform searches, ensuring accurate page numbering and preventing confusion about missing documents. |
ARC Approval Process Comment Character Limit Enhancement |
Fixed an issue where the ARC approval process was generating errors when approval or decline comments exceeded the 1000 character limit. Updated the database to allow unlimited character length for ARC vote comments, ensuring board members can provide comprehensive feedback without system errors. For more information about ARC voting, see the "Vantaca Home - Board Architectural Review (ARC) Voting and Approval Process" article. |

Homeowner Portal Text Preference Visibility |
Resolved an issue where text messaging preference controls were incorrectly displayed in the homeowner portal even when system-level text messaging settings were disabled. Homeowners will now only see text messaging preferences when the feature is actually available for their association. This eliminates confusion and prevents homeowners from attempting to set preferences for unavailable services, resulting in a cleaner, more accurate portal experience. |

Revenue Manager Invoice Detail Enhancement
|
Invoice line items now display detailed charge descriptions instead of generic or empty text. When multiple charges are combined, descriptions are separated by pipe symbols (|) for clarity. Key Improvements:
Users can now quickly understand what each charge represents directly from the invoice interface, improving efficiency and transparency in invoice review processes. For more information, see the "Revenue Manager: Billing" article. |
Revenue Manager Modal Selection Count |
Enhanced the Generate Charges and Post Invoices modals in Revenue Manager to display the number of selected associations in the header. Users can now easily see how many associations they are processing for both admin and management billing operations. They no longer need to manually count selections, making bulk billing operations more efficient and reducing the risk of unintended processing. For more information, see the "Revenue Manager: Billing" article. |
