The Violations Report with Photos provides management companies with comprehensive violation documentation that includes visual evidence for each violation, making it easier to present violation information to board members and support compliance tracking.
Important: This report includes the same filtering and export capabilities as the standard Violations Report, with the addition of photo attachments for enhanced documentation.

Photos in the Report
Photos appear below all step details for each violation. The report includes:
- The primary photo attached to the violation or the most recent photo from violation notes if no primary photo exists. If no photos exist on the violation at all, no pictures are displayed.
- Photos display at approximately half-page size for clear visualization.
- Only the first photo per violation is included to optimize report performance.
- A page break after each photo.
Note: Only photos in JPG, PNG, JPEG, or TIF formats are included in the report.
Required Role Security Settings
The Violations Report with Photos requires the View role security to access it from the Reports menu.
To add this security:
For each role that you want to be able to use the Violations Report with Photos:

Navigate to Settings > Roles.
The Roles page displays. -
Search for the role that you want to allow to use the Violations Report with Photos.
For example, in the following image, the user wants to allow Administrators to use this feature and enters admin in the search field to display all roles that include the word "admin".
- Click the caret next to the role name to open it.
- Click the Reports tab.

Go to the Association section and click Edit next to Violations Report with Photos.
The Edit Role Security screen opens.

Select the following security permission:
- View: To view and interact with the report.
- Show Watermark in Portal: Select only if adding this to a Board role for portal access.
- Click Save changes.
How to Generate the Report
To generate a Violations Report with Photos:

Click the Reports menu.
The Reports screen opens. - Set the filters as needed (Association, Portfolio, Sort, Report Date).

Open the Association category and click Run next to Violations Report with Photos (or use the search bar).
The report displays where you can further refine the information. It includes the following columns:
Note: XN, Account, Owner Name, Address, and Hearing Date display only on the first row for each violation. Step and Details each appear on their own rows for clear organization.- XN: The action item number.
- Account: The homeowner account number.
- Owner Name: The name of the property owner.
- Address: The property address where the violation occurred.
- Hearing Date: The scheduled hearing date (if applicable).
- Details: Detailed information about the violation and actions taken. The CCR Letter description appears in the first row under this section for each violation.
- Step: Filter by action item step.

(Optional) In the right-side menu, you can also select from the following filter options:
- Date Range: Start and end dates for violations to include. Note: For large date ranges with many violations, report generation may take longer due to photo processing. If performance issues occur, consider using a shorter date range.
- Step Details: Filter by action item step.
- Status: Filter by violation status (Open, Closed, etc.).
- Group By Status: Select to group violations by the selected status.
- Sort By: Filter by specific Covenants, Conditions, Restrictions, Property and Homeowner details.
- Show Hearing Date: Select to include hearing dates (default is on).

Click Preview.
The report generates with violation details and associated photos.
Export Options
The Violations Report with Photos can be exported in the following formats using the icons at the top of the report:

Print: To save as a PDF or send to a printer.

Download: To download as a PDF, Excel, CSV, etc. file for data analysis and filtering:
- Each column maintains its structure for easy filtering.
- The Hearing Date column can be filtered regardless of the step.
- Photos are embedded in the appropriate rows.
Tip: Use Excel's filter functionality to analyze violations by hearing date, step, or other criteria.
