New Statement Formatting Options
Introducing a new statement format: the "3 column" statement!
On the Association -> Settings page, a new section has been added called "Statements." From here, you can define the Address (Association or Company Default), Statement Format and the text which will display in the coupon part of the Statement. The format that is chosen here will automatically be applied to all Statements for that Association.
The address Company uses the association's Company defined on the Association -> List page and Default follows the Company Address marked as Default in Settings > Company Info.
Multiple Board Approvals for Invoices
The Association -> Settings page now allows you to define, on an association-level, the number of unique board approvals required for an invoice to pass the approval process. This will allow administrators to setup multiple users with the role of Board Invoice Approver. The Invoice will stay in the Board Approval step until the required number of unique approvals are met.
Ability to Exclude Charges from Collections Balance Thresholds
It is now possible to select which charges are counted in the minimum balance amount of our associations' collections thresholds!
To exclude a charge from an association's collections balance threshold, we go to the Association -> Assessments page. In the Edit/Create popup for each charge there now is an extra checkbox called “Exclude from Collections”. If that box is checked, the charge will not be counted in the Collections minimum balance threshold.
New Columns on the Association-> Assessments page
There’s a new available column for "Exclude from Collections," as well as new available columns for "Billing Format" and "Rule Count" (this is the number of rules established, per assessment.)
Preferred Service Provider Flag
Service Providers can now be flagged as Preferred on the Service Provider List page. This will make those Preferred Providers group at the top of the list when selecting them for Action Items, such as Invoices or Service Requests. Underneath the Preferred Providers, the general Providers are grouped together and the On Hold Providers are grouped at the bottom.
Provider Remittance Mailing Address
On Service Provider -> Payment Method page , a second mailing address for the provider can be entered. This address will only be reflected on checks. Any information entered in “Check Name” will override the name on the check. 1099s will still be sent to the provider's correspondence address.
Post Owner Payments to Other Bank Accounts
On the Homeowner Ledger > Post Payment, there is now a dropdown menu to select the Bank Account where the payment will be posted to. Role security access can be found under Homeowner -> Homeowner Ledger -> “Select Bank Account”.
New Merge Tags
Three new merge tags that can be used in the Action Item emails and letter templates are available: “Settled Date”, “Collections Balance” and “Collections Breakdown”. The breakdown will display a list of charge types and balances included in the collections thresholds; this breakdown only displays the charge types that are not marked “Exclude from Collections”.
GL Codes in Association Settings
On the Association -> Settings page, GLs are now being displayed with their code, making it easier to be sure you're selecting the correct GL!
Excel Export on Email Research
The Mailroom -> Email Research page now offers the ability to export search results directly into an Excel spreadsheet.
