Release Notes for Your Org's Personas

Vantaca Features

Orphan Email Additional Action

Description:

Added Orphan Email as a new Additional Action Item Type to the following Action Item Categories: 

  • Orphan Email will allow users to manage homeowner communications without needing them to be tied to an association and/or homeowner account.
  • The Orphan Email is intended to be used with incoming emails like the General Inquiry from Email action type so that you can easily assign the email to a homeowner before stepping it further through the workflow.

Impact:

The process of managing Orphaned Action items was once a tedious and highly manual process. This new additional action will allow your front-line teams to have a more manageable and efficient means of maintaining those once cumbersome Orphaned Action Items.

 

Logo Management

Description:

Added the Logo Management screen via Settings > Logo Management.

  • With the proper permissions under Settings > Roles > Settings > Logo Management, users can perform the following:
    • View: Users can view individual Logo information.
    • Add: Using the +New Logo button, users can create a new logo.
      • Type: Company or Association.
      • Company/Association: Field will update based on the Type.
      • Logo Type: Statement is the only available option since the logo will only appear on three-column homeowner statements at this time.
      • Description: Enter a description.
      • Upload: Upload the logo image file.
        • Accepted file formats: .bmp, .tif, .tiff, .gif, .jpeg, .jpg, .png

 

    • Update: Using the Edit button, users can make changes to existing logos.
      • Note: Only one image file can be uploaded per logo entry.

    • Delete: Using the Delete button, users can delete logos after accepting a confirmation message.

Coming Soon for Logos

  • We'll be releasing a Default option soon which will allow for easier setup for multiple Companies, so you may want to wait for this feature before you start configuring your Logos!
  • If you're not a fan of the logo's placement, the place to the right of the logo is being reserved for an upcoming QR Code feature being released in the next couple of months. You may prefer to wait to implement both the logo and QR Code at the same time. Once implemented, the QR Code will direct the homeowner to your association's web portal.
 
Impact:

Being able to add your management company's or your association's logo to third-party statements provides another layer of customizability and improves the professional image you want your management company to exhibit.

 

Association CCR Items

Description:

The ability to use the Edit button has been removed from the ACC/CCR Items - Association Override's Update Permission.

  • A separate Edit permission has been added to Settings > Roles > CCR > ACC/CCR Items - Association Overrides.
  • Permission will control the user's ability to use the Edit button on the following system areas:
    • Association > CCR Items > UnUsed CCR tab.
    • Association > ARC Types > UnUsed ARC Types tab.
Impact:

This final piece of the CCR Permissions overhaul we've been working on is here and now the only permission your managers should ever need is Update. Each function of the permission was broken out to ensure that no one inadvertently has access to functionality that they don't need, especially if their actions result in tech support intervention in order to resolve.

 

Vantaca Corrections

Action Items

  • Fixed the issue that was causing users to be notified of and grant access to Action Items that are not assigned to them.
  • Fixed the issue that was not displaying the Step dropdown option to be unresponsive and provide no indication that an error had occurred.

Action Item Step

  • Fixed the issue that was causing the Action Item Step to ignore the configured Next Step if Yes/Next Step if No setting and step to the lowest stepID instead.

Amenity Calendar Times

  • Fixed the issue causing the Amenity Calendar grid to display the incorrect Start and End Times and set the time four hours earlier to the time that was configured by the user.

User Roles

  • Fixed the issue with certain user role permissions not being updated and/or adhered to, resulting in users not having their expected permissions.

Bulk Print Order

  • Fixed the issue that was causing the Bulk Print Order process to generate incorrect file names and duplicate file names which would unintentionally overwrite files and the print job be lost.

User Responsibilities

  • Fixed the issue that was preventing an End Date from automatically being applied to a deleted user and their role still being billable.

Third-Party Statements

  • Fixed the issue with third-party statement generations not generating as expected when a homeowner has the Paper & Email Communication Preference enabled.

Statements

  • Fixed the issue that was causing Statement files to duplicate the Address2 field.

AAB New Account Request

  • Fixed the issue that was changing the Bank Type Description when attempting to edit the AAB account after the new account request had already been sent.

Auto Recon

  • Fixed the issue that was causing AAB's ACH transfer to not auto-reconcile as expected.

Vantaca IQ Features

Vantaca IQ

Added the following features to the new Settings > General tab:

  • Refresh Data for All Users

 

    • The Last Updated Time on each dashboard will now automatically be updated after the user kicks off the data refresh process with the Refresh Data button.

    • Note: Manually Refreshing will cause all data to be refreshed for ALL users within the organization and will vary in duration based on the amount of data to load. Any active sessions will not be interrupted and the tables will be updated with new data once the process has been completed.
    • Once the Refresh process has started, the Refresh Data button will be unclickable until the current process has been completed.
  • Data Refresh Log
    • Displays an activity log with the following columns:
      • Start Time
      • Completion Time
      • Duration
      • Status: The automatic nightly refreshes will show as Started By System.
      • Started By
