Association Activity Notes Additions
Description:
Any changes made to Rules in Association > Assessments are now reflected in the Association Activity Notes, as well as any changes made to Associations in screen Associations > Association List > Edit. Changes in screens Association > GL Accounts and Association > Board/Committee > tab Board/Committee are now also included in the Association Activity Notes.
Impact:
In an ongoing effort for continued transparency, we will continue to add more information to the Association Activity Notes. Just as Homeowner Activity Notes are vital to customer service interactions with homeowners, Association Activity Notes will be vital to troubleshooting any issues that arise at the Association level.
Providers Per Association
Description:
Several changes have been made to Service Providers to facilitate Association level use of Providers. Providers that are marked Default will automatically show up as Used for all Associations (and all Providers will be initialized to Default with this release so none get lost), unless it is marked otherwise in the Service Providers > Service Provider List drilldown. In that drilldown, all Associations that are Checked will have the Provider available as Used, and all that do not have the check will have that Provider as UnUsed. The same principle works for setting a Provider to Not Default: all Associations that did not get an override beforehand will automatically become unchecked and have the Provider set as UnUsed. Existing Action Items with an UnUsed Provider already assigned can still be finished correctly.
Impact:
As your list of service providers grows with your business, it can get cumbersome to navigate that list when selecting a Service Provider for invoices and action items. This feature allows you to curate a list of service providers for each association, making the list more manageable for individual users.
Additional Improvements
Portal Payment Receipt
Description:
Payments made through the Portal are now reflected in the owner’s Activity Notes (tab “This Owner”) with an attachment with payment details. Note that this is only implemented for Auto-Draft, One Time eCheck and Recurring eCheck.
Impact:
This receipt makes it easier to determine exactly when an owner made a payment through the portal. Information such as this is incredibly helpful when dealing with Customer Service concerns. This enhancement is part of an ongoing mission for Transparency within Vantaca.
Mailing Address New Columns
Description:
Screen Homeowners > Homeowner List now has additional columns for Mailing City, Mailing State and Mailing Zip.
Impact:
More columns allow for greater flexibility while searching. These columns more closely mirror what can be selected for property address, meaning that when exporting to Excel, it is now easier to check for duplicates with Property and Mailing address.
My Messages Default to Unread
Description:
Screen Action Items > My Messages now defaults to displaying Unread Messages. The page has Save Grid Settings so users can set the defaults to display how they prefer.
Impact:
Feedback from users was that My Messages was confusing because all messages displayed, whether or not they had been read. While Save Grid settings is still an option and allows users to customize the look of My Messages and other pages, changing the default to display unread more closely aligns with what users have said they expect to see.
Company Specific Password Reset Emails
Description:
The Portal Password Reset emails sent out to owners now contains the information tied to the Association the owner is in, instead of always the Default Company information.
Impact:
This feature allows for further options to communicate with owners. Different Companies may have very different information, including different portal URLS. This change allows us to honor those differences, without additional configuration on the clients’ end.
Bug Fixes
- Preview on communication method “Electronic, if None then Paper” now accurately displays whether the message will be sent to the physical or the email address
- The Word Template Manager Add-In now accepts special characters in the user’s password
- Email and Login Name can now be changed in Homeowner > Logins without having to change the password as well
- Deleted Action Items with recurring fees no longer continue to generate those fees after deletion.
