Modern Portal
Description:

Impact:
The new portal offers a more modern way for homeowners and board members to access their accounts. Greater functionality and an updated design make the portal easier to navigate and allows users to do things like never before.
Calendar Reservations - Amenity Calendar
Description:
In addition to the general Association > Calendar page, there is now also Association > Amenity Calendar. This page allows users to view and add items to the Amenity Calendars, such as Clubhouse Reservations.
There is also an Amenity Calendar on the Homeowner’s Portal, accessible from the Calendar & Events page and clicking the Amenity Calendar Tab.
Impact:
Having separate calendars for amenities such as Clubhouses, Pools, Tennis Courts, etc. will allow for additional functionality such as Amenity Reservations. Homeowners accessing this through the portal can now view and know at-a-glance when these amenities are in use; whether requesting the amenity for a private event or simply looking to see when the next Water Aerobics class is available. There are countless ways to use this newest Vantaca feature.
Calendar Reservations - Reservations Request
Description:
A New Reservation Request link has been added to the Amenity Calendars tab in Calendar & Events on the Modern Portal.
- The link will redirect to My Items > Submit a Request
- The Calendar can be filtered by Category and/or
- Filter by Category will separate the Calendar by Amenity.
- Calendar can be viewed by Day, Week or Timeline.
- Start and End Time can be selected by clicking and dragging on the selected timeslot in the calendar or via the dropdown menu.
- A Reminder for the Reservation can be set.
- Submitting will create an Action Item for the request and an XN Number will automatically be created.
- Filter by Category will separate the Calendar by Amenity.
Impact:
Amenity Calendars give your Associations a new level of access for your homeowners. The ability to reserve these amenities through these calendars adds additional self-service options for your Homeowners and Boards, as well as making these reservations easier for your users. These reservations automatically kick off the same action items that would manually be created in the past, saving you time.
Calendar Reservations - Global/Association Settings
Description:
The Settings > Amenity Categories page will display a set of global Amenity Calendar settings. You can set the Categories for Amenities (ex. Clubhouse, Pool, Tennis Court, etc.) to be used when setting up your individual Amenities at the Association Level. Each Category is set with a default calendar view (Monthly, Daily, etc.) as well as which Action Item is created through a reservation in this Category.
The Association > Amenity Calendar Settings page allows users to customize the Amenity Calendar for individual Associations. Here, you can add Amenities to each Category (ex. “Board Room 1” or “Lounge and Kitchen Area” for a Clubhouse.). Each Category can have multiple amenities. It is also possible to select when these amenities are available to reserve, who can see/reserve these amenities, and for how long.
Impact:
These settings allow Management Companies to streamline and put parameters around the Amenity Calendar and Reservation Process. Settings these up and directing your homeowners to their portal for reservations will allow for a smoother process for both your homeowners and your staff.
Calendar Reservation - Alert Additional Actions
Description:
A new Additional Action is now available for Alert Category Action Items which will allow homeowners to opt in to have a reminder sent to them for their Amenity Reservation. The Amenity Reminder Date Additional Action will create the designated Action Item on the Reminder Date selected during the reservation process. This allows an Action Item to be created in your database to notify the homeowner (or others) of the reservation.
Impact:
Alert Action Items are great tools to use for system reminders and notifications. This additional action allows for the creation of Action Items to remind Homeowners, or Action Items to send internal reminders for these new Calendar Reservations.
