Modern Portal - Homeowner Login
Description:
Updated the following verbiage and information on the Modern Portal Homeowner login page:
- Added “(Do not use on a shared device)” text under the “Keep me signed in checkbox”.
- FAQ answer for “How do I submit a service/maintenance request or another question?” from “Log into the Website and choose ‘Submit a Request’ from the menu on the left.” To “Log into the Website, select ‘My Items’, then select ‘Submit a Request’.”
- FAQ answer for “How do I make a payment?” from “Log into the Website and choose ‘Make a Payment’ from the top navigation menu.” to “Log into the Website and click the green ‘Make a Payment’ button to the right of your Account Balance.”
Impact:
The former verbiage in various spots on the Modern Portal Homeowner Login page was not consistent with the new Modern Portal layout, but these modifications ensure that the most accurate information is provided exactly where it needs to be.
Enhancements - Association Calendar
Description:
The end date will now automatically populate to an hour after the created time when users create an event on the Association Calendar instead of the following day at the same time, creating a 24-hour event.
Impact:
Although a minor change, this quality-of-life enhancement will provide a more streamlined process for your users when creating events and ensuring that they take place at the intended times.
Enhancements - Reclass Invoice
Description:
The following changes were made to the Reclass Invoices process to mitigate the potential for error throughout the process:
- The Reclass form will now close as expected when clicking Update.
- Previous GL’s/Amounts will no longer be displayed after clicking Update.
- The following fields will now be editable on the Reclass form for approved but not yet paid invoices:
- New GL Account
- New Fund
- New Amount
- New Bank Account
- The following fields will now be editable for paid invoices:
- New GL Account
- New Fund
- New Amount
- The following fields will be displayed on the Reclass form and read-only:
- GL Account
- Fund
- Bank Account
- Amount
- The New Bank Account field will be editable for unpaid invoices.
- If the invoice is paid, the field will be read-only.
- The View History and Audit views will now update accordingly with the correct amounts.
- Users will no longer be able to click Update multiple times, which was causing multiple submissions.
- The Update button will be temporarily disabled upon submission to ensure the form validates and saves new data correctly.
- The update process can be canceled by the user by closing the Edit Reclass form or by clicking the Cancel
Impact:
A number of spots in the reclass invoice process that were prone to intermittent errors for its users. With this release, we’ve put in validation methods to ensure that the user doesn’t modify a field that doesn’t need to be modified or accidentally create an additional reclass entry.
Enhancements - Grid Settings
Description:
Various improvements have been made to grid setting functionality:
- The following grids will now save user selections:
- Association > Association List
- Association > GL Accounts
- Accounting > Approve Invoices
- Accounting > Bank Register
- Accounting > GL Entry
- Settings > GL Account
- A grid setting dial has been added to the following tabs on the Homeowner > Activity Notes page:

Impact:
The ability to modify individual grid settings throughout Vantaca is an integral part of creating a tailored view of information that best suits your needs. With this release, we’ve included even more functionality for the listed grids and their ability to be saved with individual user specifications.
Reports
New Reports - AR Aging w/ Bankruptcy
Description:
The AR Aging w/ Bankruptcy report has been added.
- The report will use the existing AR Aging report data and format.
- The report will indicate when an owner has a bankruptcy action item.
- Bankruptcy indication will display as (Bankruptcy) under Collection Status.
- A note has been added to the bottom of the report pages:
- “(Bankruptcy) indicates owners with bankruptcy Action Items.”
- Users will need to enable to the report under Settings > Roles > Reports > Financials.
Impact:
You’ll now be able to view indications of bankruptcy for a homeowner along with the existing AR Aging report data which will further enhance your reporting metrics.
New Reports - Global Service Provider Payments
Description:
The Global Service Provider Payments report has been added.
- The report will display a list of payments made to service providers for all of the client’s associations.
- Users will be able to export the report via .csv to Excel.
- The report will have the following filter options:
- Start Date
- Filters by payment date.
- End Date
- Filters by payment date.
- Payment Type
- Filters by payment type.
- Default payment type will be In-Office
- Users will need to enable to the report under Settings > Roles > Reports > Financials.

Impact:
This dedicated report will help you keep track of all of your association’s service providers with the most up-to-date invoice and payment information. You’ll have all the service provider information you need, all in one report.
Report Enhancements - AR Aging by Year
Description:
Bankruptcy charges will now be included in the AR Aging by Year report.
Impact:
This enhancement was implemented to ensure that the charges included on the AR Aging by Year report is consistent with the charges on the AR Aging report.
Report Enhancements - Report Timezone Settings
Description:
Statements will now show the date based on the user’s timezone system setting instead of UTC.
Impact:
This change was put in place to resolve an issue with statements being run late in the day and consequently appearing on reports for the next day due to the timezone being set as UTC rather than the user’s timezone.
Corrections
Bugfixes
- The error causing One Time Per Charge late fees to not populate as expected on third-party statement files has been resolved.
- Statement messages containing an ampersand (&) will no longer crash the statement generation.
- Late fees that are set to calculate a percentage of the charge amount will now charge the percentage based on the homeowner’s actual charge generation that is set to occur.
- The issue involving the email formatting being lost when Replying Above and Replying Between has been corrected.
- Deleting a non-homeowner board member from the associations board/committee page will now completely delete the user record.
- Previously, users were able to delete a non-homeowner board member, but the User record would be unaffected.
- This change will not affect users that are active in multiple associations.
- The user’s access will be removed from the association which the record that was deleted.
- Attempting to log in to the Modern Portal with a blank password will now instruct the user to “Please enter a valid password.” rather than the previous result, which would cause a page error.
- The error causing only the first category to populate the category dropdown list on the Amenity Calendar page has been resolved and users should now be able to view all available categories.
- The Modern Portal Community Calendar page will now display all available calendar view options correctly.
- The issue involving the credit portion for owner balances being excluded causing incorrect credit balances has been resolved.
- The Auto-Waive Days After logic has been reworked to function in a manner that is more logical to users.
- The Settings > Check Signature page will now restrict the upload of invalid file types..
- Invoices will now require an invoice date in order to be approved.
- An error message will notify the user that an “Invoice Date must be selected in order to Approve the invoice.”
- One Time Per Charge late fees will now only charge once in unique scenarios involving short months, i.e. February.
- When generating a coupon or statement with a percentage of current balance late fee option, the charge amount late fee calculation will now be used to generate the fee amount on the coupon.
- Fees set to charge the month after the charge is applied will now show a late fee after the next month, instead of the current month that the charge is applied.
Report Fixes
- The Service Provider Usage Report by Association and by Service Provider reports will now operate in a consistent manner without erroring out upon initial use.
- Mailing labels produced via browser will now match the formatting of the PDF view.
- The issue involving multiple instances of the Utilities Billing Message to display multiple times on a single statement has been resolved and the Utility Billing Message will now only display once per statement, regardless of the number of linked properties on the statement.
- The error causing the GL Trial Balance by Fund will no longer display duplicate funds on the report due to a back-end table issue.
- The formatting issues on the Utilities Billing Report involving statements has been resolved.
