Vantaca Features
Tenants
Description:
The following changes have been made to the Homeowner > Tenants page:
- Homeowner column has been renamed to Tenant.
- This will display the first and last name of the Primary Tenant.
- Second Owner First Name and Second Owner Last Name columns have been renamed to Secondary Tenant First Name and Secondary Tenants Last Name.
- Balance column has been removed.
- Move-In Date and Move-Out Date columns have been added.
- The grid will include current and future Tenants by default.
- An Include Moved-Out checkbox will be available to include Moved-Out Tenants in the grid.
- First Name and Last Name columns have been renamed to Primary Tenant First Name and Primary Tenant Last Name.
- A View Leases button has been added, next to the +Add Lease button, which will switch the page to Homeowners > Leases.
Impact:
The changes to the grid and available columns made were to accommodate the other numerous enhancements we’ve made to the Lease and Tenant functionality.
Homeowner And Tenant Headers
Description:
The following changes/additions have been made to Homeowner and Tenant page headers:
- Homeowner Header
- Tenant information will now display in the homeowner header.
- Selecting a Tenant will redirect to Homeowners > Tenants.
- A Tenant with an Expired status will display "Expired" at the end of the Tenant name in the homeowner header.
- Tenant information will now display in the homeowner header.

- The Tenant Header will display the following information:

Impact:
This feature helps maintain consistency and transparency on the Homeowner and Tenant page headers so you can easily track each.
Lease and Tenant Security
Description:
Lease and Tenant functionality will be linked under the same security permissions.
- Lease/Tenant functionality will need to be enabled under Settings > Roles > Securities > Homeowners > Tenants.
Impact:
Lease and Tenant functionality are linked to save you the hassle of having to set each permission independently.
Owner Transfer
Description:
An Include Tenant(s) checkbox has been added to the Owner Transfer form.
- If checked, the Tenant's information will be transferred to the new owner.
- Note: This field will be unchecked by default.
- If unchecked, any existing Tenants will have their Leases closed and their Move-Out Date updated to coincide with the Settlement Date.
- If unchecked, any existing Tenants will have their Leases closed and their Move-Out Date updated to coincide with the Settlement Date.
Impact:
This new checkbox on the Owner Transfer form will ensure that you don’t add any unrelated records to your new homeowner.
Tenant Additional Info
Description:
The Select button will now redirect to the Additional Info page for the selected Tenant.
- Additional Info page will display with the Tenant Header of the selected Tenant.
Impact:
The Tenant Additional Info page ensures that you have the same additional info functionality for tenants that you have for your homeowners.
Tenant Records
Description:
The following pages will auto-populate with a selected tenant type record:
- Additional Info
- Contact Info
- Action Item
- The following pages will not filter to tenant type homeowner records:
- Activity Notes
- Tags
- Ledger
- Logins
- If any of the above pages is accessed while filtered to a Tenant Record, the page will load without a record selected.
Impact:
These default display filters were put in place to ensure that actions aren’t performed on tenants when they were intended for the homeowner.
Add/Edit Tenants
Description:
Updated the Add/Edit Tenants form.
- The following fields will be available when adding a new Tenant with the +New Tenants button or when editing a Tenant:
- Tenant name has been changed to Primary Tenant Name. - required*
- Primary Email has been changed to Primary Tenant Email.
- Primary Phone has been changed to Primary Tenant Phone.
- Second Tenant Name has been changed to Secondary Tenant Name.
- Business Name

Impact:
The changes to the Add/Edit Tenant form ensure that you have complete control of your tenants contact information and move-in/move-out dates.
Leases
Description:
Added the Leases page under Homeowners > Leases.
- The Homeowner's information will display above the Leases
- A +New Lease button will open the New Lease
- A View Tenants button will be available which will switch the page to Homeowners > Tenants.
- The grid will include current and future Leases by default.
- An Include Closed checkbox will be available to include Closed Leases in the grid.
- Users can search, filter, sort information in the Leases
- Leases grid contains the following columns:
- Lease ID
- Tenant
- Lease Start
- Lease End
- Status
- XN: Leases will only have an action item number if they are created via the Create Lease or Add Lease additional action.
- Leases with attachments will have a View Docs button on the associated Lease.
- The button will not display if no attachments on the Lease.
- Added the ability to Delete a
- A confirmation message will appear after the user attempts to delete a Lease
- Lease record will be removed from the Homeowners > Leases
Impact:
This new page offers everything you need to quickly view all lease records for a single homeowner.
Add/Edit Leases
Description:
Added the ability to Add/Edit Leases.
- The following fields will be available when adding a new Lease with the +New Lease button or when editing a Lease:
- Tenant(s): Tenant can be entered manually or selected a from list of existing Tenants using the Select
- Lease Start - required*
- Lease End - required*
- Note: Form will not save if required fields are not filled out.
- Month-to-Month: Check this box for month-to-month leases.
- Note: Enabling this will remove the ability to select the Lease End
- Lease Documents
Impact:
The new Add/Edit Lease form allows you to quickly add Leases for a homeowner and any attached documentation can be included straight from its creation.
Homeowner List Column Options
Description:
Lease Status has been added as an available column option on the Homeowners > Homeowner List grid.
- Note: Users will need to enable to column, it will not be displayed by default.
- The field will display the Lease Status of the most recent lease for (all) current Tenant(s).
Impact:
This additional column option gives you a quick way to track a tenant’s lease status right from the homeowner list.
Association List Column Option
Description:
Added the # Leases and # Tenants as available column options on the Association > Association List grid.
- Note: These columns will not be displayed by default.
- # Leases column will display the total number of open leases for properties in the association.
- If there is more than one lease for a property, only the most recent lease start date will be displayed.
- # Tenants will display the total number of properties in the association that have at least one Active tenant.
Impact:
These available column options ensure your ability to report tenant occupancy for each association.
Lease Status
Description:
Lease Statuses have been added.
- For Leases with a related XN:
- The Lease status will display as the Action Step Name.
- The status will update automatically as the action item is stepped.
- When the lease action item is updated to a closed status the related Lease status will be updated to the closed status.
- The Lease status will display as the Action Step Name.
- For Leases without a XN
- Closed
- Active
- Expired: Today's date is greater than Lease End Date.
- Not Started: Today's date is less than Lease Start Date.
- Lease Status will change with the following actions:
- Step changes, if the Lease has a related XN.
- Add Lease
- Lease Start and/or End Date for leases without related XN.
- Edit Lease
- Lease Start and/or End Date for leases without related XN.
Impact:
These Lease Statuses will let you accurately track all your Leases and their associated Tenants, if there are any applied to the Lease in question.
Activity Notes
Description:
Lease actions will now be included on Homeowner > Activity Notes.
- The new Note Type will display the following activity:
- Leases - Edit
- Leases - New
- Leases - Delete
- Note: Users will not be able to edit or delete notes.
Impact:
Including Lease actions on the Homeowner’s Activity Notes page puts the ability to self-audit your system when changes are made.

Impact:
These changes were made to allow you to import consistent data between the Homeowner and Property Import and the Tenant Import. Your tenant records will be accurate no matter how you upload the information.
Lease Reports
Description:
The Lease and Lease History reports have been updated.
- Lease Report has been renamed to Tenant and Lease Report.
- Lease History Report has been renamed to Tenant and Lease History Report.
- The following changes have been made to both report types:
- Report name has been changed to Tenant and Lease Report.
- Lease Begins date column has been changed to Move-In.
- Lease End date column has been changed to Move-Out.
- Added the following fields, which will appear after Phone:

Impact:
These reports have been updated to incorporate all the changes made to Lease and Tenant functionality.
Lease Action Items
Description:
The following changes have been made to lease action items and additional action items.
- Edit Lease
- Editing a Lease will update the related action item if a related one exists.
- Added the Create Lease - Additional Action.
- New Lease Action Item is created with the following information:
- Lease End Date
- Subject
- Description
- Lease Created
- Tenants
- Lease Start
- Lease End
- Note: Lease End field will be disabled if Month-to-Month checkbox has been checked.
- Added the Closed Lease - Additional Action
- Triggers when the action item linked to a Lease is changed to Closed.
- Added the Add Lease - Additional Action.
- A Lease button will display if the selected action item is on the Add Lease - Additional Action
- The Add Lease form will display when selecting the Lease
- Saving the new lease will create a lease for the homeowner and link it to the action item.
- Implemented protections to ensure that Lease Action Items are not automatically created for leases that have already ended.
- If the Lease End Date is in the past, the New Lease Additional Action will not trigger the Create Lease Action Item.
- The following warning message will be displayed when a lease is created with a Lease End Date that is in the past:
- "Lease action items will not be auto-created for past leases."
- New Lease Action Item is created with the following information:
Impact:
These action items were added to allow complete customization for how you want to manage your leases and tenants. You can manage your lease and tenant’s workflows with these new action items if that’s what’s best for your association. There’s no “best” way to manage this workflow but these action items give you the ability to create the workflow that works best for you.
Lease Reminder
Description:
The Lease Expiration Reminder setting has been added to Association > Settings > Communications.
- The Create Lease Action Item will automatically update based on the Lease Expiration Reminder
- Note: The default value for the new setting will be 60 days for all Model Associations.
- The Lease Reminder will be tied to the follow-up date on the Lease Action Item, so that the reminders can be configured to send once the Lease Action Item reaches its follow-up date.
Impact:
This new setting will give clients the ability to configure their lease reminder notifications to something that makes sense for them, rather than simply relying on the Follow-up date in the Create Lease action item.
Payment Screen
Description:
An Account column will now be included as a default field on the Homeowner > Payment Search screen.
Impact:
This field was added as a default column to account for payments being separated among multiple accounts, allowing the user to easily identify them while using the Payment Search screen.

Impact:
These new additions to Association Activity Notes have been added to allow the user to look up who made a change to an Association. Prior to this release, clients would need to submit a support ticket, we'd manually pull the results and send them back. Now they can simply look up the info in seconds.

Impact:
These new additions to the System Activity Notes have been added to allow you to look up who made a change to a System Setting. This will better enhance our capability when assisting you to narrow down where changes were made to your system and by who.
Company Info
Description:
The dropdown arrow on the Bank and Board Members tabs have been removed from the Settings > Company Info page.
Impact:
The dropdown and two tabs were removed because they weren't being populated by anything and ultimately served no purpose.
Unused GLs
Description:
Added a protection to ensure that GLs cannot be marked as UnUsed when they are being used elsewhere in the system.
- Attempting to set a GL Account to not used will result in the following error message being displayed:
- "This GL is currently in use by the following, please update before marking Not Used:
[list of settings being used by GL]
- "This GL is currently in use by the following, please update before marking Not Used:
- The user will need to make the changes mentioned in the error message before they can successfully mark the GL Account as UnUsed.
- Note: You'll still need to select the Save button to keep any changes you make from being undone inadvertently.
Impact:
Our users were having a difficult time identifying out of balance issues that were caused by a GL being marked as UnUsed incorrectly. This protection will ensure that no changes are made to GL Accounts without the proper housekeeping being performed on them first.
Provider List Method
Description:
Added holdPayment and holdReason as available fields to the ProviderList method.
Impact:
These two new fields in the response will display which providers have holds on their account and why.
1099 Box Column
Description:
Added 1099 Box as an available column option on the Service Providers > 1099 Balances > 1099 tab.
- Note: The column will not be enabled by default.
- The column will display the Service Provider's 1099 Box.
Impact:
Because the 1099 Box was not an option before this release, you would need to go into Service Provider > Service Provider List and view each provider's configuration to get their 1099 Box information. Now, they can enable the column to see all their provider's 1099 Box information at a glance.
Association List
Description:
Added Fiscal Year End (FYE) as an available column option to Association > Association List.
- Note: The column will not be enabled by default.
- The column will display each association's fiscal year end date.
Impact:
This Fiscal Year End column has been implemented to save you the trouble of having to go check each association's annual calendar during Fiscal Year End workflows.
Board/Committee Notes
Description:
Added the ability to add notes to Board/Committee Members.
- A Notes section has been added to Edit Board/Committee Member
- There is a 1000-character limit to the text field.
- This information will only be displayed in the Notes column and nowhere else in the system.
- A Notes column has been added to the Association > Board Committee > Board/Committee tab.
- Note: The column will be enabled by default.
Impact:
The ability to add notes or comments to each Board/Committee Members allows you to add any information that doesn't fall within the confines of the existing form fields that other employees may need to know.
Get Board Invoices Method
Description:
Added the GET/GetBoardInvoices method, which will return information for a single endpoint.
Impact:
This endpoint allows you to refine your Board Invoices search to a single invoice. The new endpoint also allows Vantaca to send GL Details as well as any attachments on the invoice.
Association/Provider Field Filtering
Description:
Users will no longer need to clear the Association or Provider text fields when inputting their values on the following screens:
- +New Balance Record form
- View Invoice Filtering
- The filters will now automatically start filtering their results based on the inputted data.
Impact:
Previously, you would need to clear the text field before entering in your values for the filter to work. Now, you can simply start typing and the Association and Provider fields will automatically clear the "Choose an Association/Choose a Provider" placeholder text and start filtering right away.
Old Provider ID
Description:
Added Old Provider ID as an available column option on the Service Provider > 1099 Balances > 1099 tab and Non-1099 tab.
- Any existing Old Provider IDs will be displayed in the column.
- Data will be pulled from the Old Provider ID field under Service Provider > Service Provider List > Edit Service Provider.
- Data will be pulled from the Old Provider ID field under Service Provider > Service Provider List > Edit Service Provider.
- Note: The column will not be enabled by default.
Impact:
Being able to view historical Service Provider information like their previous name without having to navigate away from the 1099 Balances screen will prevent interruptions to their workflow.
Provider Tax ID
Description:
Added Provider Tax ID as an available column option on the Service Provider > 1099 Balances > Non-1099 tab.
- Note: This column will not be enabled by default.
Impact:
The column option has been added to the non-1099 tab to ensure that you don't have to switch back to the 1099 tab to reference the Provider TaxID column, previously the only tab that had the Provider TaxID as an available column option.
Balance Record Validation
Description:
Balance Records will now require both a valid Association and Provider to be created/updated.
- Attempting to update the Balance Record with an invalid Association and/or Provider will result in the following error message upon selecting Update.
Impact:
Being able to create an invalid Balance Record had the potential to cause issues as the system was not throwing up any red flags that could prevent issues down the line.
Report Association Search
Description:
Added the ability to filter all associations when opening the Report Viewer.
- Selecting the Magnifying Glass icon will open the Association Search where users can add and filter the following columns:
- Code and Nickname
- Code
- Association Name
- Nicknames*
- Portfolio*
- Company*
- Note: Columns with an asterisk are not enabled by default.
Impact:
This new Association Search, which you may recognize from the Homeowner search, will provide a much more refined option for you compared to the previous Association dropdown.
Reconciled By
Description:
Added Reconciled By as an available column option on the Accounting > Reconciliation > Reconciled tab.
- The column will display the name of the user that reconciled the item.
- If the item was auto reconciled, the column will display, "System".
- Note: The column will not be enabled by default.
Impact:
This new column will help identify who (or what) reconciled an item and save you the trouble of having to create a support ticket to find out that information.
Internal NEC Report changes
Description:
The Internal 1099-NEC forms have been updated to accommodate the changes made to the 2021 Nonemployee Compensation Report by the IRS.
- The following internal reports can now fit three forms on a single page.
- 1099Nec_Report: will display the same provider for all three sections.
- 1099NecA_Report: will display a different provider in each section.
- The following changes have been made to the report from the 2020 version:
- Removed the FATCA filing requirement option.
- Added a checkbox to Box 2 (box is for the resale of consumer goods).
- Various spacing changes.
Impact:
These changes ensure that our internal NEC forms are compliant with the IRS's changes to 2021 version of the report. Previously, our internal forms only supported two NEC forms on a single page.
Receivables Type Balance Quarterly Report
Description:
Added the Receivables Type Balance Quarterly report.
- The report will display the same information as other Receivable Type Balancereports with a quarterly date range.
- End date will default to the last day of the last completed month.
- Start date will default to the first day of the quarter for the selected end date.
- The report will need to be enabled under Settings > Roles > Reports > Financials to use.
Impact:
This new report will enhance your ability to generate quarterly report metrics without having to waste time setting up the various date ranges themselves.
1096 Details
Description:
A 1096 Contact Info section has been added to the System > System Settings > AP tab.
- Users will be able to enter the following contact information:
- Name of Person to Contact
- Email Address
- Fax Number
- This data will be populated onto the 1096 form.
Impact:
This new section will allow you to easily pull their inputted 1096 contact info onto the 1096 form when generating 1099s which will allow an easier workflow and prevent reporting errors.
Vantaca Corrections
Bulk Step Error Message
- Corrected the error causing the Bulk Step error message to not close upon selecting OK.
ARC Report
- The error causing the ARC Report to not display the ACC/ARC Type unless a description has been added to the action item has been resolved.
- The ARC/ACC Type will now always be displayed as intended.
Print Queue
- Filtering by an entered date in the Created Column in the Mailroom > Print Queue will now automatically have the first filter option selected by default.
Approve Invoices Tab
- The XN column will now be appear after the checkbox selection column when adding the XN Column to the grid on the Accounting > Approve Invoices grid.
Invoice Action Item
- Resolved the issue causing the selected assignee to not save when creating a new Invoice Action Item.

- Non-1099 Service Provider's will no longer be an available option when adding a new Balance Record to the 1099 tab in Service Provider > 1099 Balances.

Report Date Header
- The GL Trial Balance report header will now accurately reflect the date the report was pulled rather than the entire month on the report header.

Homeowner Invoice
- The Payment column has been removed from the Three Column Homeowner Invoice format.
Proposed Annual Budget Report
- The % Variance column will now appear on the Excel download of the Proposed Annual Budget Report.
Assessments
- Tenants with no charge will no longer be displayed with homeowners on the Assessments page.
Overall Balance Column
- The Overall Balance column Filter search will now be able to accommodate numbers when attempting to search and filter.
Communication Summary
- Resolved the formatting error causing the homeowner at the bottom of the Communication Summary to be cut off when viewing in Preview Form.
New Payment Double-Click Protection
- Double-click protection has been implemented on the Homeowners > Ledger > +New Payment form's Update button.
- The button will be disabled once the user has already selected it once.
Service Provider Payment Method
- Corrected the formatting issue causing the Confirm ABA/Routing # and Confirm Bank Account # fields to not be displayed next to their corresponding text field.
Homeowner Dashboard
- Removed the extra space before the comma when there is more than one assessment in the Next Assessment section of the homeowner header.
