Amenity Reservations
Description:
Added the Amenity Event Form, which will allow users to view individual amenity reservation details from the Amenity Calendar.
- The form can be accessed by double-clicking on an event on the Association > Amenity Calendar.
- The form will contain the following read-only fields, which will pull data from the amenity reservation action:
- Amenity Name
- Category
- Event Date
- Start Time
- End Time
- Event Description
- Security
- XN
- Selecting the XN number will open the action item details.
- Requested By
- Property Address
- The form will contain the following read-only fields, which will pull data from the amenity reservation action:
- The following merge tags have been added for use with Amenity Reservations:
- Amenity Name: populates the selected Amenity Name for that action item. The Amenity Name in the communication will match the selected amenity name on the action item.
- Amenity Category: pulls data from the amenity type field.
- Amenity Start Time: pulls data from the amenity start time field. Format: 00:00 AM or 00:00 PM
- Amenity End Time pulls data from the amenity end time field. Format: 00:00 AM or 00:00 PM
- Amenity Event Date: pulls data from the amenity event date field. Format: MM/DD/YYYY
- Amenity Reminder Date: pulls data from the reminder date field.
- Note: If the reminder date is blank and this merge tag is used, the merge tag will appear as blank.
- Selecting New Reservation from the Amenity Calendar will now redirect the user to the Submit a Request > Reservation Request tab.
- Any Filter or Category selections made by the user on the Amenity Calendar screen will carryover when being redirected to the Reservation Request tab.
Impact:
The addition of the Amenity Event Form, Amenity Merge Tags and the new redirect will help you and your homeowners with a streamlined the Amenity Reservation process.
System Activity Notes
Description:
Amenity Category activity will now be tracked via System > Activity Notes.
- An Activity Note will be created whenever one of the following actions is performed on an Amenity Category:
- Created
- Deleted
- Edited
- Created
Impact:
Tracking your Amenity Category changes will save you from having to create a support ticket to find out who changed what in your system.
Association Activity Notes
Description:
Amenity Calendar Settings activity will now be tracked via Association > Activity Notes.
- An Activity Note will be created whenever one of the following actions is performed on Amenity Calendar Settings:
- Created
- Edited
- Copied
- Deleted
- Created
Impact:
Enabling you to track your internal changes to Amenity Calendar Settings will ensure you stay on top of any and all changes to your system.
Portal Statement Download
Description:
The Download Report button has been updated to display as Download Statement on both Portal versions of a homeowner's account/billing information.
Impact:
The button used to say, “Download Report,” which was reported as being confusing to homeowners looking to download a statement. The button’s text has been updated to ensure your homeowners know exactly what they’re downloading.
Income Statement with Codes - FUND NOI (Sections) Report
Description:
Added the Income Statement with Codes - Fund NOI (Sections) Report.
- The report will display the same data as the Income Statement with Codes Consolidated NOI (Sections) Report except in fund format.
- The report will need to be enabled under Settings > Roles > Reports.
Impact:
This report will allow you to generate a report on the same data by fund as what’s reported in the Income Statement with Codes Consolidated NOI (Sections) Report
AvidPay
Description:
The following changes have been made to the Accounting > Pay Invoices > Avid Pay:
- AvidServices.cs has been updated to pull Account No: [account] - XN [invoiceid]
- The description will no longer include Invoice for [descr].
- Note: If the invoice doesn't have an account number, the Account No: [account] will be excluded and only the pass XN [invoiceid]
Impact:
AP Specialist requested a more detailed and informative description field to accurately research their payments when using AvidPay.
Tenants Column
Description:
The Tenants column on Homeowners > Tenants has been updated to display the name of both primary and secondary tenants.
Impact:
Having both tenants viewable on the Tenants grid will save you having to spend additional time researching if there are not only additional tenants on a lease, but also what those additional tenant’s names are.
Tenant Action Item Headers
Description:
Tenant name header hyperlinks will now operate with the same functionality as existing Homeowner headers.
Impact:
Previously, you’d be redirected to the Tenant Action Item page, now you’ll be redirected to the Homeowners > Tenant page.
Association Directory
Description:
The Web Portal Home Page > Directory will now display the Second Owner Name.
- If Second Owner Name is entered in the Edit Homeowner/Property Form then the additional owner name will be included in the Homeowner Directory.
- If a property is using a Business Name, then the Business Name will continue taking priority over the Homeowner and Second Homeowner Names.
Impact:
The second owner name will now be included in the Portal Directory after numerous reports from users about their confused homeowners wondering why only the primary owner name was available in the directory.
Master Association
Description:
Added Is this a Master Association? and Master Association as available columns on the Association > Association List page.

- Added Is this a Master Association? and Master Association as available columns on the Association > Association List page.
- The Is this a Master Association? column will have a ✔ or X to designate whether the association is a Master or not.
- Master Association will display the name of the Master Association, if available.
- These columns will not be enabled by default
Impact:
You’ll now be able to review the Master and Sub relationship between your associations which, previously, you’d have to contact Support, create a ticket, and wait for us to send the data.
XN Date Range Filter
Description:
- The XN Date Range Start & End Date on Action Items > All Action Items has been replaced with a Time Period dropdown.
- The dropdown will have the following available options:
- Today
- 30 Days
- 60 Days
- 90 Days
- 180 Days
- 365 Days
- Custom Range
- Will allow you to select a date range with a Calendar Start and End Date.
- Note: Leaving the End Date blank and selecting "Enter" via keyboard will default the field to "Today".
- Attempting to select a date range exceeding one year will prompt the following warning:
- The action item list will populate with action items that have a created date that is Equal To or Between the set range.
- Any option chosen via the dropdown can be saved as the default setting with the Save Grid Settings cog option.
- Will allow you to select a date range with a Calendar Start and End Date.
- The dropdown will have the following available options:
Impact:
You’ll be able to save a custom XN Date Range for your All Action Items grid instead of having to select the same date range every time you navigate around the page.
Modern Portal Bulk Approval
Description:
Added the ability to do Bulk Approvals in the Modern Portal on the Board Invoices page.
- An Approve Selected Invoices and Select All checkbox have been added to the Board Actions > Invoices grid.
- Each invoice line item will now have a selection checkbox in the first column.
- This column will be enabled by default and unable to be removed from the grid.
- Bulk Approval functionality will operate in the same manner as the Accounting > Approve Invoices screen.
- Bulk Approving will approve each selected invoice for its selected total amount and step the invoice to the Next Step if Yes decision.
- Each invoice line item will now have a selection checkbox in the first column.
Impact:
Being able to bulk approve invoices straight from the Board Invoices page will save your board invoice approvers lots of time that was previously spent individually approving recurring billing.
AAB New Account Request
Description:
The following changes have been made to AAB's New Account Request Form:
- Mgt. Fax is no longer required.
- Added an ACH option button.
- Button will default to Yes.
- Button will determine whether or not the ACH should be set up for the new account.
- Data will be pulled by Association Information.
- Request Contact field will now auto-populate with the email address of the user submitting the form.
Impact:
We’ve implemented these enhancements so that you can get the most of your banking integrations.
Avid Pay Special Characters
Description:
Unsupported characters that are not supported by Avid Pay will now be removed when being sent to prevent issues with the data not being sent due to errors.
Impact:
These special characters were causing errors but by stripping the characters before being sent, you’ll no longer receive ambiguous and unhelpful error messages.
AR Aging (Utilities) Report
Description:
The AR Aging (Utilities) Report has been added.
- The report will ONLY display unpaid assessment charges that have an existing record in Owner Ledger > Utilities Billing.
- The report will need to be enabled under Settings > Roles > Reports > Financials.
- The report will contain the following columns
- Property
- Totals of outstanding amounts for each utility assessment charge over the following ranges:
- 0-30 Days
- > 30 Days
- > 60 Days
- > 90 Days
- Balance
Impact:
This will allow you to generate a focused report with only information about your homeowner’s outstanding utilities charges.
Utilities Billing Activity Report
Description:
The Utilities Billing Activity Report has been added.
- The report will display utility assessment charge information for the association with the selected date range.
- The report will need to be enabled under Settings > Roles > Reports > Financials.
- The report will contain the following columns:
- Property
- Charge Date
- Charge - Meter ID
- Previous Reading
- Current Reading
- From Date
- To Date
- Reading Method
- Usage
- Rate Amount
- An Include Previous Owners checkbox can be disabled to filter out any previous owners.
- This checkbox will be enabled by default.
Impact:
This will allow you generate a report on your association’s utilities charges so you can verify all charges that have been added or imported.
Vantaca Corrections
Amenity Reservations
- Resolved the error causing HTML formatting tags to be visible in the My Items grid when submitting an Amenity Reservation through the modern portal.
- Amenity Reservations made with a start time of 7 PM EST will no longer automatically move the event date to the following day.
- Amenity Reservations will no longer ignore the Reservation Limit configured for an Amenity.
- The error causing an Amenity's Visibility Settings to be ignored has been corrected.
- Available Days has been added as a required field when creating/editing an Amenity.
- Resolved the error preventing an Amenity Category from displaying on the master or sub-association despite being set to Display on Master/Sub.
- Board Members will now be able to Approve or Decline Amenity Reservation Action Items.
- Resolved the error causing the blue shading when selecting a time to only display on weekdays between 8AM and 5PM has been resolved and will appear on all seven days no matter what the time.
- The issue preventing homeowners from being able to submit a Reservation Request after using the form below the calendar to input the Start and End Times instead of selecting via the calendar has been resolved.
Cache Issues
- Resolved the issue involving certain caches in the .Net and Portal to crash the page unexpectedly.
Service Provider
- Resolved the error causing the Current Provider field to display as null after attempting to update a Service Type.
Service Description
- The error causing the Short Description field on the + New Services form to accept more than 200 characters has been resolved.
Homeowner Tags
- Resolved the visual error causing Selected to display when making selections in the Other Tags grid.
Homewise
- Total number of properties will now be passed to Homewise via API instead of the total number of owner charges for properties.
Credit Distributions with Subledgers
- The error involving subledgers to not factoring for prepaids correctly has been resolved.
Homeowner Ledger
- The error causing the Transactions and All Properties tabs on the Homeowner Ledger to display the Subledger Credit Balance in the wrong Subledger has been resolved.
Bank Register Void
- Users selecting Void on a Post Expense item will now receive the Void Item form to with a checked Void Invoice checkbox that cannot be modified.
- The following information will be displayed next to the checkbox, "Payment created by Post Expense. Invoice void required."
Budget Import
- Clients with a fiscal year that is not January will no longer end up having their monthly values in order of the import file and will instead have them imported by value in the budget month.
Homeowner Transactions
- Homeowner Transactions will no longer display as a day behind their actual values on the Board Actions > Homeowner List > Transactions tab.
GL Research Amount
- Resolved the error causing the signs for the values to be backwards on the Accounting > GL Research > Amount column.
