New
Email Designer: Design Professional Email Templates with Drag-and-Drop
A new drag-and-drop Email Designer is now available in CMP, giving you a visual tool for creating and managing professional email templates for your action item steps. No coding or design experience needed.
Important: Set up your email brand colors first. See the Email Branding section below to upload your logo so your Primary, Secondary, and Accent colors apply automatically. Your updated templates will already reflect your branding when you open them.
If your action item steps have existing email templates, Vantaca has already prepared updated versions for your review. Your current templates continue sending unchanged until you approve each updated version. To review, go to Settings > Action Types/Steps, expand the action type, click Rules, and then select the Email Templates tab.
For action item steps without an existing template, you can build a new one from scratch using drag-and-drop components, or choose from pre-built options in the Template Portfolio. Merge tags are available to personalize emails with homeowner, association, and action item data.
Note: Bulk template approval and email scheduling are not available in this release and will be added in a future update. Templates must be approved individually.
Email Branding: Give Your Templates a Consistent, Branded Look
Email Branding is a new feature on the Logo Management screen that helps you bring your company's look and feel into your Vantaca-provided email templates. Upload your logo, and Vantaca will pull the Primary, Secondary, and Accent colors from it and apply them across all of your Vantaca-provided templates.
Set this up alongside the new Email Designer so your brand colors are already in place across your templates, which means less editing to do.
You'll find the Email Branding button under Settings > Logo Management, alongside your existing logo entries. The popup includes a live Template Preview on the right, so you can see exactly how your colors will look in a real email as you make adjustments.
Important: Email Branding applies your color scheme to Vantaca-provided email templates only. It does not add your logo image to your email templates, and it does not change templates you have manually created or customized. You can update your colors any time, and Vantaca will ask you to confirm before reapplying them.
Note: Existing logo entries on this screen are unchanged. The original toolbar button is now labeled New Statement Logo, and statement logos continue to work exactly as before.
Automated Payment Email Notifications
Vantaca Pay now sends automated email notifications directly to homeowners for key payment activity. Homeowners with a Vantaca Pay account receive emails for the following events:
- Upcoming autopay notice: Homeowners enrolled in autopay receive advance notice before their scheduled payment is processed.
- New recurring payment scheduled: Homeowners receive confirmation when a new recurring payment is set up on their account.
- Recurring payment stopped: Homeowners are notified when a recurring payment or autopay arrangement is canceled or disrupted.
- Payment receipt: A confirmation email is sent for every completed payment.
When any of these events occurs, an activity note on the property is automatically recorded in CMP, giving your team additional context if a homeowner contacts support about a payment.
Note: This feature is available for Vantaca Pay clients and is being rolled out gradually. Your association will receive access as part of the rollout.
Bulk Manage: Admin Contracts
A new Bulk Manage button is now available in Revenue Manager under Admin > Contracts. Instead of opening each contract individually to update charges, staff can view all admin fee charges across every association in a single table and update rates in bulk.
On the Bulk Manage page, select a fee type from the dropdown to view all charges of that type across your associations: Action Items, External Charges, Flat Fees, or Ledger. You can filter, sort, and search within the table.
To update charges, click Edit, then click any highlighted field to edit directly in the table. Select multiple rows to apply a change to all of them at once. Click Save Changes to apply, or Cancel to discard. If any updates fail, a notification shows how many succeeded and how many failed.
To remove charges, click Remove, select one or more rows, click Remove Charges, and confirm in the dialog that appears.
The fields available for editing differ by charge type:
- Action Items: Rate, Minimum, Maximum
- External Charges: Rate, Minimum, Maximum (Description is view-only)
- Flat Fees: Rate only
- Ledger Activities: Rate or Percentage (each charge uses one or the other; you cannot set both at the same time)
