The Vantaca Home portal is the resident-facing experience where homeowners view their account balances, make payments, submit requests, reserve amenities, view compliance notices, manage their profile, and communicate with your management team. This article provides management companies an overview of the portal layout, what each page does, and the tools you use to support homeowners, including mimic mode, Quick Actions, and the Property Selector. You can customize sections and add pages for each association, so the portal can look different from one community to the next.

Pre-Login Page
The pre-login page displays when homeowners visit the portal URL. It is the first impression homeowners and board members have of your portal and appears before users log in. You can add custom content, logos, and announcements to this page.
Coming Soon: You'll soon be able to design the pre-login page using a visual drag-and-drop editor. For details, see the "Vantaca Home: Landing Page Designer" article.
From the pre-login page, homeowners can:
- Pay Now: Click to make a payment without logging in. For details, see the "Vantaca Pay: Guest Payment Set Up and Tracking" and "How to Use Guest Payments" articles.
- Log In: Click to open the login screen.
- Menu: Click to open a navigation menu for portal pages that allow public access (typically Calendar, Documents, and FAQs when configured).
Login Screen
After homeowners click Log In on the pre-login page, the Log Into Your Account screen opens. They can log in using an email and password combination or a one-time passcode. For instructions, see the "How to Log In to the Home Portal" article.
After logging in, Vantaca may display onboarding prompts to set up recurring payments (if eligible and not yet enrolled) or enroll in text message payment reminders. For details, see the "Home Portal Payments Onboarding" article.
Portal Layout
After homeowners log in, the portal opens to the Dashboard. The Dashboard is divided into three main areas:
- Left Navigation Menu: A persistent menu on the left side that lists all available portal pages and tools. The menu items shown depend on the association's enabled portal pages and the user's role.
- Property Selector: A card in the top-right corner that shows the currently selected property. Homeowners with more than one property can switch between them here.
- Main Content Area: The center of the screen displays the page or dashboard the user is viewing.
Left Navigation Menu
The left navigation menu lists the pages and tools homeowners can access.
- Inbox: The unified message hub for all of the homeowner's requests, compliance notices, violations, reservations, and general communications. An unread count badge displays next to the label.
- Home: The portal dashboard.
- Payments: The Account Overview page where homeowners view balances, make payments, manage payment methods, and download statements.
- Requests: The Requests page where homeowners submit and track architectural requests, service requests, and general inquiries.
- Communications: A dedicated page for association communications. Appears only when the management company has enabled Board Communications for the association.
- Reservations: The Reservations page where homeowners book amenities.
- Compliance and Notices: A dedicated, filtered page showing the homeowner's violation and collections items.
- Calendar & Events: The community calendar with association events, reservations, and meetings.
- Directory: Contact information for board members, committee members, and homeowners (subject to visibility configuration).
- Documents: The association document library.
- FAQs: Frequently asked questions for the association.
- Board Actions: An expandable menu that appears only for board members and ARC committee members. See the Board Actions Menu section.
- My Profile: The Profile Settings page where homeowners manage contact information, login credentials, and account preferences. My Profile replaces the homeowner name dropdown menu used in earlier portal versions.
- Log Out: Logs the user out of the portal.
Notes:
- The exact items shown depend on which pages are enabled for the association in Association > Portal Pages and on the user's role.
- Non-homeowner board members see only Board Actions and a limited set of menu items.
- Homeowners can collapse the menu using the arrow icon at the top of the menu.
Property Selector
The Property Selector card in the top-right corner of the portal shows the currently selected property: association name, address, and a map pin icon. Homeowners with multiple properties click the card to open a searchable dropdown and switch between properties.
Each property in the dropdown shows the account number, association name, and property address. Homeowners can type to filter properties by account number, association name, or address. Click a property to switch.
The selected property determines what data appears on the Dashboard, Payments, Requests, Reservations, Compliance and Notices, and Inbox pages. The Board Member section and Board Actions menu reflect board-wide action items rather than a single property.
Note: Properties are tied to a homeowner record under Homeowner Profile > Properties in Vantaca. If a homeowner expects to see a property in the Property Selector but does not, verify the homeowner record is associated with that property and mimic the homeowner to confirm what they see.
Quick Actions
The Quick Actions button at the top of the left navigation menu opens a screen with shortcuts to the most common homeowner tasks. Quick Actions is hidden for non-homeowner board members.
The Quick Actions screen includes:
- Amenity Reservations: Opens the Reservations page. The card appears only when amenity reservations are enabled for the association and the homeowner has permission to make reservations.
- Make a Payment: Opens the Make a Payment page with the homeowner's selected property account preselected.
- New Request: Opens a secondary screen where homeowners choose the type of request to submit: General Inquiry, Architectural Request, or Service Request. The label on the Architectural Request option reflects the ARC name configured for the association. Each option opens the corresponding submission form. Only the request types enabled for the association and authorized for the homeowner's role appear.
Dashboard
The Dashboard is the first page homeowners see after logging in or when you mimic them. It surfaces the most important account information, pending actions, and recent activity at a glance.
The Dashboard includes:
- Reminder banner: A summary banner that shows the homeowner's upcoming amenity reservations. For board members and ARC committee members, the banner also lists architectural requests pending review. The banner only appears when there is something to surface.
- Payments card: Displays the account balance, upcoming charges, AutoPay enrollment status, and buttons for Make a Payment and Manage Payments. Homeowners with multiple accounts can switch accounts in the card.
- Recent Transactions card: Lists the most recent ledger transactions with a link to view full account history.
- Inbox: Lists the most recent items from the homeowner's Inbox with a link to view all messages.
- Board Member section: Appears only for board members and ARC committee members. Includes a Board Actions card that displays counts for items needing board attention (ARCs, Invoices, Work Orders, Collections, Inspections, Violations, and a category labeled with your management company's name).

Pages in the Portal
The following list links to detailed management-facing articles for each portal page. Not every page is enabled for every association.
- Inbox: Unified message hub for all open action items and messages. See the "Vantaca Home: Inbox" article.
- Payments: Account balance, payment history, payment methods, statements, and the Make a Payment screen. See the "Vantaca Home: Make a Payment" article.
- Requests: Architectural requests, service requests, and general inquiries. See the "Vantaca Home: Architectural Requests" article.

Board Actions Menu
The Board Actions menu in the left navigation appears only for users with board member or ARC committee permissions. It is an expandable menu that lists pages where board members review and approve items: ARCs, Invoices, Work Orders, Collections, More Items, Homeowners, Bank Accounts, Reports, Inspections, Violations, and Board Tasks. Board members also see a Board Actions card on the Dashboard that shows counts for items needing attention.

My Profile
My Profile is a left navigation menu item that opens the Profile Settings page. From this page, homeowners view and update their contact information, change their login credentials, and adjust account preferences.
The Profile Settings page is organized into three tabs:
- Contact Info: View and edit primary and other addresses, phone numbers, and email addresses.
- Login Info: Change the email address used to log in, change the password, and update multi-factor authentication settings.
- Account Preferences: Set notification, communication, and privacy preferences.

Mimic Mode
Mimic mode allows you to log in to the portal as a homeowner so you can see exactly what they see, troubleshoot issues, and confirm that pages and settings work as expected for that user. When you are mimicking, a "You are in mimic mode" banner displays at the top of every page.
While mimicking, you can navigate every page the homeowner can navigate. Use mimic mode to verify a homeowner's account balance, confirm a request was submitted correctly, check that a reservation booking is visible, or troubleshoot a homeowner-reported issue without asking the homeowner to share their screen.
